THIS NOTICE IS PROVIDED FOR INFORMATION PURPOSES ONLY. THIS OPPORTUNITY IS AVAILABLE ONLY TO CONTRACTORS UNDER W81XWH-09-T-0382. Solicitation #W81XWH09T0382 August 10 - 14 Conference Technical Questions/Answers 1. What is the required in the general session with regards to audio/visual production? Screen & Projection that accommdates all attendees. Wireless Microphones, white boards, markers, poduim w/microphone, cabling, power cords, internet, tables. 2. Is there a conference agenda that will show daily usage of equipment? Yes, The Agenda has been attached to this amendment. 3. We are a production company; would you be willing to contract hotel services independently? No 4. Are the dates listed the actual conference dates or do they include set-up days? The dates listed are the actual conference dates. 5. What is the agenda for the meeting? The agenda has been attached to this amendment. 6. Can you provide a room description of spaces to be used? What are the room specifics? There needs to be one main room, and two break out rooms. All rooms should be able to accommodate 75 people. 8. How many attendees in each breakout? Each breakout session/room should be equipped to support the maximum number of participants (75 attendees) at the conference, as breakout sessions are chosen by the participants on an individual basis. 9. What level of hotel is preferred? No specific standard of hotel class or quality has been set. But the hotel and conference center must be within 30 miles radius of Frederick, MD. 11. For our response, should our pricing include the costs of the meeting space, AV equipment, and food and beverage for all breaks and lunches as per the solicitation? If yes, should the lunches be priced assuming separate sit-down meals or boxed lunches served in the meeting space? Cost should include meeting space, AV Equipment, food & beverage for all breaks and lunches. Cost should also include pricing for separate sit-down meals. 12. Has the location for the meeting space been reserved or is there a preferred location for the meeting space (specific property or general city and state location)? The hotel and conference center must be within 30 miles radius of Frederick, MD to accommodate traveling attendees. 13. If the meeting space has not been reserved, should the meeting space be located at or within walking distance of the hotel where the sleeping rooms are reserved?
