- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Solicitation W912L2-09-T-5020 is being issued as a Request for Quotation. This solicitation incorporates provisions and clauses for commercial items in effect through Federal Acquisition Circular 2005-33. This procurement is unrestricted and open to all sources. The associated NAICS codes is 721110, small business size $7M. COMMERCIAL ITEM DESCRIPTION: The USPFO for Arizona has a requirement for The Arizona Army National Guard is in need of a hotel or conference center that can provide meeting space for approximately 500 people in support of the Yellow Ribbon and Reintegration Program. Pricing should be submitted on this form. Parking/Registration: On each day, Saturday and Sunday, September 12 and 13, 2009, the conference center will provide parking for approximately 400 vehicles near the conference center. A registration desk or a minimum of 3 six-foot tables with 6 chairs for registration that will easily accommodate the 500 attendees as they enter the conference area will be needed. Cost will be inclusive of ALL Taxes and Service Charges Table cost: ____________ Conference Room: The conference center will provide an on site conference room to accommodate 400 people seated in a crescent round-type setting allowing all attendees to see and hear the presentation clearly, take notes, and enjoy a breakfast at their seats. These accommodations need to be available on both Saturday and Sunday, September 12 and 13, 2009 from 7:00 am 4:00 pm. The attendees will be returning to this room throughout the day, therefore this room must remain set in this way from 7:00am to 4:00pm. Also needed for this room is a six foot table in the front of the room, audio/visual (projector, screens and integrated speaker system) that is adequate for size of room, and podium with wireless microphone that will also be provided by the conference center. The sound needs to be heard clearly in the whole room. All audio and visual components must be adaptable to standard laptop outputs. Note pads and pens should be provided at each seat in this room. Cost will be inclusive of ALL Taxes and Service Charges. Room cost including A/V: ______________ Childcare Rooms: Saturday and Sunday, September 12 and 13, 2009 from 7:00 am 4:00 pm, 6 conference rooms set with 4 round tables with 6 chairs each to accommodate 24 people. In each of these 6 rooms the conference center will provide audio visual (projector, screens and integrated speaker system) that is adequate for size of room. One of these rooms must have internet connection. These 6 rooms must be located together, near a bathroom and in a secure location; these rooms will be used for child care and youth activities. Cost will be inclusive of ALL Taxes and Service Charges. Room cost per room including A/V: ______________ Total cost: ______________ Breakouts Rooms: Saturday and Sunday, September 12 and 13, 2009 from 7:00 am 4:00 pm, 6 breakout rooms for 100 people in a classroom setting. These 6 breakout rooms must be in the same general area as the conference room. The conference center will provide audio visual (projector, screens and integrated speaker system) that is adequate for size of room, a table in the front of the room, wireless microphone, internet connection, and flip chart easel with pad and markers in each room. Note pads and pens should be provided at each seat in the room. Cost will be inclusive of ALL Taxes and Service Charges. Room cost per room including A/V: ______________ Total cost: ______________ Vendor Support Room: Saturday and Sunday, September 12 and 13, 2009 from 7:00 am 4:00 pm the conference center will provide 40 clothed tables with two chairs per table in a large room. This room should allow enough space for 100 people to walk from table to table and visit with the vendors. This room must be in the general vicinity of the conference and breakout rooms. Cost will be inclusive of ALL Taxes and Service Charges Table cost: ____________ Meals and Refreshments: On Saturday and Sunday, September 12 and 13, 2009 from 7:30 am 10:00 am the conference center will provide a continuous and refreshed continental-style breakfast (such items as muffins, fruit, pastries, juices and coffee etc&) For approximately 500 adult attendees to enjoy after they register and waiting the general session. 100 children and youth will be delivered a small assortment of this same continental breakfast in the designated child care rooms at 9:00 am. A continuous hot lunch buffet for approximately 500 adults is to be provided from approximately 11:30am 1:30pm. Buffet lines need to provide sufficient number of lines for attendees to expedite transition from buffet to dining area. There needs to be sufficient food for all attendees. 100 box lunches will be provided for children. Consider the various ages of the children and youth and their abilities when preparing the boxed lunches. (i.e. juice and milk for the children and the same selection plus soda for the youth.) Throughout the day the conference center will provide beverages (soda, coffee, water etc&) accessible for 500 people to enjoy as they walk to each of their breakout sessions. Vendors must bid these beverages keeping in mind we cannot forecast actual consumption. Vendors should bid at an amount they are comfortable with no matter the consumption. Contractors must attempt to bid this line item keeping in mind the Government Per Diem rate (per meal) in your area. Invoices shall reflect a breakdown for the per meal charges.
