Description
The National Institutes of Health (NIH), National Institute of Child Health and Human Development (NICHD) plans to procure the services of a Contractor that is experienced in providing conference support. The Contractor and NIH shall agree to cosponsor an even on October 1, 2009 through October 2, 2009. This is the Inter-Institute Workshop on Optical Diagnostic and Biophotonic Methods from Bench to Bedside. The event will feature a workshop and poster sessions that will result in a Program Workbook, including the biographies and photos of the speakers, with a 250 word abstract, and other final technical program material. The Workshop will be held on the NIH Campus in Bethesda, MD in the Natcher Auditorium. Contractor Responsibilities: 1)Coordinate and secure conference house for approximately 500 attendees with the appropriate supplies if necessary. 2)Provide appropriate copy for the travel, housing and transportation section of the promotional material. (approximately 35-40 people) 3)Build and maintain pages on the Contractors Website providing program information and promoting the event. 4)Provide a technical program coordinator for the event, responsible for the collection of technical program material from the various speakers, in collaboration with the Chairs, and for assembling material necessary for the on-site piece. The person will work collaboratively with the NIH designated organizational and administrative point person on all program materials and with program participants. 5)Provide all conference related information to the NIH Event Management team, including all relevant meeting logistical information, catering information, and onsite registration area requirements. 6)Assign an experienced Meeting Planner to plan and coordinate all aspects of the event and serve in the on-site meeting manager role. 7)Coordinate the plan for pre-registration of all attendees and delivery of on-site registration processes. 8)Set up an accounting procedure for the event and collect funds from registrations and sponsors secured by the NIH representatives. 9)Disburse sponsorship funds to speakers per NIH directives. 10)Produce a flyer to advertise the Workshop and distribute where appropriate at any events held by the Contractor. 11)Provide timely accounting of both pre-meeting and on-site registration revenues and expenses in the form of budget to actuals to NIH representatives as requested. 12)Assist in the coordination of security badging for Workship attendees with the NIH point person. 13)In conjunction with Workshop Chairs, arrange for a timely special feature of the proceedings showcasing the event. Interested vendors capable of providing the Government with the service specified above should submit their quotation to the below address. It is anticipated that the Request for Quotation (RFQ) NICHD 09-142 will be available fifteen (15) days after the publication date of this synopsis. Receipt of quotations will be due ten (10) days after the release of the RFQ.
