- FAR 52.212-4 - Contract Terms and Conditions - Commercial Items Requirements for Conference Space Office of Human Capital Career Evolution Program Public/Meeting/Conference Rooms Background The TSA Career Evolution Program (CEP) is a internal career development program that provides additional career options for high performing TSA employees. It is an entry-level, full time, career development program at the TSA headquarters in Northern Virginia, minutes away from Washington, D.C. After successfully completing the two-year program, employees are considered for permanent career positions with TSA. The CEP will begin in January, 2010. As a part of the selection process, TSA will be conducting three days of interviews. Lodging accommodations are on hold for those employees who reside outside of a 50 mile radius of TSA HQ in Arlington, VA in accordance with TSA MD 1000.6 and FAATP, Part 301-11.2 and FAATP, Part 301-11.5 and conference rooms are in request. Purpose/Scope On October 25, 2009, 150-200 job candidates for the Career Evolution Program will be arriving in Arlington, VA for a series of employment interviews on October 26-29, 2009. Lodging accommodations are on hold for those candidates who reside outside of a 50 mile radius of TSA HQ in Arlington, VA, in accordance with TSA MD 1000.6 and FAATP, Part 301-11.2 and FAATP, Part 301-11.5. Public/Meeting space with audio equipment is requested to conduct interviews. Deliverables 1. Location Conference rooms are to be located within 3 miles of the TSA HQ Address: 601 S 12th Street, Arlington, VA 22202 The hotel should provide a 6000-9000 sq ft ballroom and meeting space for candidate waiting area and interviews. Hotel should provide poles, drapes, and (6'x 30") tables, skirts, chairs, trash cans, setup and a registration table in front of the ballroom. Ballroom space at the hotel is a necessity for the Career Evolution Programs interview sessions. Ballroom space should encompass enough space to include at least 12 booths (tables, chairs, poles, skirts and trash cans). Hotel should have internet access in public areas to assist with program needs. A waiting area should be provided for program participants. Hotel should provide a storage area for storing luggage, program documents and supplies. Time 8:00 to 5:00 p.m. 2. TSA Registration Welcome Desk The Hotel shall provide a space in the main lobby near the hotel registration desk for TSA staff to have a program registration table. The hotel shall provide one eight foot (8') square table, skirted, and four (4) chairs. Public Space/Meeting Space Conference space is being requested with guarantee of availability of function/meeting space from 26 October starting at 8 AM ending 28 October at 6 PM to accommodate a total of 200 people per day. The estimated amount is to be an all inclusive cost including room rental, light refreshments, and audio visual equipment and not to include tax and service charges. Projection screen Projector Mouse Laptop Podium with Microphone Internet hook-up needed Funding After the conference, the total charges will be paid by Government Purchase Order in order to receive the tax exemptions for the meeting portion of this program. One invoice will be submitted in accordance with attached clause 52.212-4 "Contract Terms and Conditions - Commercial Items". The invoice shall contain an itemized list of all charges. Period of Performance October 25, 2009 - October 29, 2009. Proposal Submission Hotels wishing to respond to this requirement shall submit a Hotel Agreement with the proposed costs. TSA will edit the Agreement to tailor its conformance to Federal Contracting terms and conditions. TSA shall make a best value determination considering location and price.
