Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The California National Guard has a requirement for hotel services in Monterey, CA 93940. To be considered for award, all venues must reside within 5 miles of the city of Monterey, CA. The California National Guard (Yellow Ribbon) has a requirement on October 23, 2009 for coffee and tea services for 120 guests from 11:30am to 5:30pm. The California National Guard (Yellow Ribbon) has a requirement on October 24, 2009 for the following: Coffee and tea services for 120 guests from 12:00noon to 5:30pm, 120 each continental breakfasts to include bagels, danish, various muffins, coffee, tea, and juice, 120 each lunches to include Caesar salad with dressing, grilled chicken, short ribs with chili barbeque, tortilla chips and warm tortillas, mexican rice, lemon tarts, water, iced tea, and coffee, 25 each childrens lunches (ages 2-12) to include cheeseburger or hot dogs, tater tots, sweet corn, and cookies. Quotes must include pricing per meal for each meal listed and any service charges must be included in the quote. The California National Guard (Yellow Ribbon) has a requirement on October 24, 2009 for the following audio visual equipment: 1 each 3000 lumens projector, 1 each tripod screen, 1 each skirted cart, 1 each AC extension, 1 each power strip & VGA cable, 1 each handheld microphone (1 EACH TOTAL AV PACKAGE PER ROOM). The California National Guard (Yellow Ribbon) has a requirement on October 23 & 24, 2009 for meeting rooms and conference rooms to include the following: Oct. 23rd - 1 each general session room with a minimum occupancy of 120 guests, room to include 10 each 6ft-8ft rectangular tables set up around the room, room must be available from 11:30am 5:00pm, Oct. 24th 1 each general session room with a minimum occupancy of 120 guests, room to include 10 each 6ft 8ft rectangular tables set up around the room, room must be available from 8:00am 5:00pm, 2 each childcare rooms with a minimum occupancy of 20 guests each to be available from 8:00am 5:00pm, rooms to include 2 each 6ft 8ft rectangular tables set up in each room, 2 each rooms for lunch guests with a minimum occupancy of 60 guests in each room, room to include appropriate number of tables for guest seating. The California National Guard (100th TC) has a requirement on October 23-25, 2009 for ballrooms and conference rooms as follows: 1 each ballroom with a minimum occupancy of 650 guests, 1 each ballroom with a minimum occupancy of 1000 guests, 2 each boardrooms with a minimum occupancy of 12 guests per room, 2 each conference rooms with a minimum occupancy of 200 guests per room. Quotes must be submitted with a breakdown of price per room per day. The California National Guard (100th TC) has a requirement on October 22 - 25, 2009 for audio visual equipment packages to include the following: OCT. 22 - 1 each 3000 lumen projector, 1 each projection stand, 1 each skirt, 1 each 7.5 x 10 fast fold screen with dress kit, 1 each 1x4 VGA distribution amplifier, 2 each wireless handheld microphones, 1 each 4-channel audio mixer, 2 each LCD packages corner set, all necessary cabling, power cords, and technical assistance as needed, OCT. 23 (room 1) 1 each 3000 lumen projector, 1 each projection stand, 1 each skirt, 1 each 9 x 12 fast fold screen with dress kit, 1 each wireless hand held microphone, 1 each 4-channel audio mixer, all cabling, power cords, and technical assistance as needed, OCT. 23 (room 2) 1 each 3000 lumen projector, 1 each projection stand, 1 each skirt, 1 each 7.5 x 10 fast fold screen with dress kit, 2 each wireless hand held microphones, 1 each 4-channel audio mixer, all cabling, power cords, and technical assistance as needed, OCT. 23 (ballroom/gala) 1 each 3000 lumen projector, 1 each projection stand, 1 each skirt, 1 each 9 x 12 fast fold screen with dress kit, 1 each VGA distribution amp, 4 each LCD packages set in each corner of the ballroom, 1 each Folsom presentation pro seamless switcher (or equivalent), 1 each Sony D50 camera and tripod (or equivalent), 1 each Canon GL2 3CCD mini DV camcorder (or equivalent), 6 each wireless hand held microphones, 1 each Mackie 1402 mixer (or equivalent), 1 each JBL 15 EON powered speaker with stand and cabling (or equivalent), 1 each 12 x 12 box truss 10ft long, 1 each truss chain motor, 1 each source 4 ellipsoidal light fixture for stage wash and color, 1 each Par 64 floor can with multiple colors, 1 each lighting dimmer, 1 each lighting controller, all cabling, power cords, and technical assistance as needed, OCT. 24 (room 1) 1 each lumen projector, 1 each projection stand, 1 each skirt, 1 each 9 x 12 fast fold screen with dress kit, 1 each wireless hand held microphone, 1 each 4-channel audio mixer, all cabling, power cords, and technical assistance as needed, OCT. 24 (room 2) - 1 each lumen projector, 1 each projection stand, 1 each skirt, 1 each 7.5 x 10 fast fold screen with dress kit, 1 each wireless hand held microphone, 1 each 4-channel audio mixer, all cabling, power cords, and technical assistance as needed, OCT. 24 (room 3) - 1 each lumen projector, 1 each projection stand, 1 each skirt, 1 each 9 x 12 fast fold screen with dress kit, 3 each wireless hand held microphone, 1 each 4-channel audio mixer, 2 each LCD packages corner sets, all cabling, power cords, and technical assistance as needed. HOTEL LODGING FROM OCTOBER 19-25 WILL NOT BE PART OF ANY CONTRACT ISSUED, HOWEVER THE FOLLOWING ROOMS MUST BE MADE AVAILABLE AS PART OF ANY BID SUBMITTED IN RESPONSE TO THIS SOLICITATION: Oct. 19 50 each guest rooms, Oct. 20 50 each guest rooms, Oct. 21 120 each guest rooms, Oct. 22 160 each guest rooms, Oct. 23 280 each guest rooms, Oct. 24 352 each guest rooms, Oct. 25 4 each guest rooms. **All guest rooms will be paid for by individuals utilizing those rooms. The Government is not responsible for payment of any guest rooms. All bids must include pricing for the event as a whole. Vendors may not submit a partial bid for a specific piece of the event. The following clauses and provisions are hereby incorporated into this solicitation: 52.212-1 Instructions to Offerors Commercial Items, 52.212-3 Offeror Representations and Certifications Commercial Items.
