Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation, Solicitation Number W911RZ-10-T-0002. Fort Carson intends to award a Firm-Fixed Price Contract for lodging, conference services, and child care at a resort location in Summit County, Colorado or Eagle County, Colorado. The North American Industrial Classification System (NAICS) code for this procurement is 721110. This solicitation will end on 22 October 2009, 2:00 p.m. Mountain Time. Quotes received after this time shall not be considered. Final totals will be provided to the awardee no later than 26 October 2009. The awardee may only invoice for the total numbers reported by the Government. Statement of Work The total proposed price shall be all inclusive. (Include any incidental charges, i.e. parking, surcharges, etc.) The period of performance for this service is 6-8 November 2009. 1.The vendor shall host 44 families for the 1-22 IN (1BCT, 4ID) Strong Bonds Marriage Retreat from 6-8 November 2009. The maximum numbers for this retreat are as follows: 72 adults and 50 Children ages 0 to 16 years. 2.The room breakdown is as follows: a.44 Deluxe rooms November 6-8, 2009 Checkout shall be no sooner than 12:00 pm on Sunday, 8 Nov 09. These Deluxe rooms will include a queen-sized bed or larger for the adults and beds for the children. In addition, each room shall have a refrigerator, private baths, and a television. Rooms shall be private (i.e. church camps with bunk beds and group housing are NOT acceptable). 3.The vendor shall provide 5 buffet meals as follows: a)Friday, Nov 6: i)Adults Dinner ii)Childrens Dinner b)Saturday, Nov 7: i)Adults Breakfast ii)Childrens Breakfast iii)Adults Lunch iv)Childrens Lunch v)Adults Dinner vi)Childrens Dinner vii)Coffee Breaks during adult meeting room times c)Sunday, Nov 8: i)Adults Breakfast ii)Childrens Breakfast iii)Coffee Breaks during adult meeting room times 4.The vendor shall provide one conference room for training on Friday (1800-2000 hrs), Saturday (0800-1200) and Sunday (0800-1200). The room shall be furnished with round tables, chairs, podium with microphone, projector screen aprox. 6x 6, and DVD capability. The room shall accommodate a total of 72 adults. Conference room shall have air-conditioning and heating capability for climate control. The vendor shall provide computer connectivity with audio and video capability for Government-provided computers. The Contractor shall provide set-up and tear down for all conference rooms throughout the weekend. 5.The vendor shall provide a separate conference room space located in the same building in close proximity to the meeting conference room to accommodate vendor-provided childcare services for 50 children. There shall be at least one room for children 2 years of age and under and at least one room for children 4 years of age and up. Services are required on Friday night (1800-2000), Saturday (0800-1230 and 1800-2200) and Sunday (0800-1230). These rooms will be conducive to setting up children's activities. The vendor shall provide computer connectivity with audio and video capability and audio and video (large TV and DVD player) equipment and capability for the children's activities areas. The contractor shall provide games and activities for the children as well as a television and DVD player with movies for the children. The movies shall be pre-approved by the Chaplain before they are shown to the children. a. The number of children per age group is estimated. The number of children listed below are estimates and the exact total of children per age group who will be attending shall be submitted to the Contractor no later than 26 Oct 09. The ages of the children are as follows: Ages 0-3 years Estimated Quantity = 15 children Ages 4-6 years Estimated Quantity = 15 children Ages 7-10 years Estimated Quantity = 10 children Ages 10-16 years Estimated Quantity = 10 children 6.The vendor shall provide childcare services by a licensed childcare provider. The vendor shall provide a list of children's activities provided by the resort childcare providers, and will furnish all equipment and supplies needed for these activities. 7.CONTRACTOR QUALIFICATIONS AND SPECIFICATIONS: a.The facilities provided by the vendor shall be located either in Eagle County, CO or Summit County, CO. The vendor shall be capable of providing all services and facilities listed in this Statement of Work on premise. The vendor shall provide a licensed childcare provider for the childcare services. The vendor shall have on-site recreational facilities and be within 5 miles of restaurants and ski slopes. The Government intends to evaluate offers and make award without discussions; however, this does not preclude the Government from having discussions if it is in the best interest of the Government to do so. To be eligible for an award, contractor must be registered in the Central Contractor Registration (CCR) database. A contractor can contact the CCR by calling 1-888-227-2423 or e-mail at http://www.ccr.gov. NO EXCEPTIONS. A DUNS (Dun and Bradstreet) number is required in order to register.
