- DESCRIPTION: This is a Sources Sought Notice. Reply to the Contracting Officer if you can provide the service below. VA Connecticut Healthcare System request Cancer Case Tracking System (CCTS) Description: The contractor will work on further design modifications to the existing Cancer Case Tracking System. The new work will consist of refining existing features and adding new functionality to support the addition of cancer sites in the liver. The system is designed to help care coordination and case management staff manage the large caseload of patients with existing or suspected lesions of the lung and liver. This web based tool has realtime links to the VA's Electronic Medical Record (VISTA) and can monitor and report on patient appointments, consults, imaging procedures, demographics, and procedures. The site provides and intuitive interface allowing users to enter treatment events and their dates and alerts are triggered when these tasks are found to be incomplete or missed. A variety of reports can be generated to describe overall system performance for quality measurement.Contractor must:Fully understand the existing tracking system design and structure Know the structure and table relationships of the VA's VISTA database for all tables relating to the CCTS Exhibit the ability to write T-SQL and Cache SQL queries and stored procedures to extract and process VISTA patient data in real time Have the necessary VA security clearances to permit access to patient files. Complete the required VA training for patient data privacy, information security, and VA human subjects protection Obtain the necessary VISTA system access accounts that allow real time data extractions. Meet periodically with the intended user groups and clinicians at the West Haven VA Medical Center. (Weekly design reviews) Design and Development tasks:Design and develop the database structures and user interface components that will allow for the selection and scheduling of all designated treatment events ( Consults, Appointments, Procedures) Work with the clinical staff to develop the means to manage these lists to keep selection drop downs current and synchronized with VISTA. Design and develop the web forms and database structures to support proper cataloging of treatment events. Data to capture are cancer site, primary or secondary lesion, referral, alert, pending, or case known status, comments, findings from radiology reports. Discover the VISTA data sources and table relationships to properly display and report on patient consults, appointments and procedures in real time. Work with the design team of case mangers and clinicians to develop reports. Provide user training Create a user manual and technical manual. This service will be provided for VA Connecticut Healthcare System, 950 Campbell Avenue, West Haven, CT 06516.
