- The Veterans Administration Medical Center, 508 Fulton Street, Durham, North Carolina is seeking potential sources capable of providing facilities and food service for the Annual VA Voluntary Service Banquet to be held the 3rd or 4th Monday in April 2010. THIS IS NOT THE COMPLETE DESCRIPTION LIST: The hotel/restaurant must be able to accommodate 250+ volunteers in a formal sit down dinner or buffet with table service, meals must be no more than $38.00 per person including beverages and dessert. The price should also include a waived room rental fee, a specific area for a social hour, and a separate registration area. The facility must be within 2 miles of the Durham VA Medical Center due to the travel of VA staff, the amount of items to be delivered for the banquet needs, and for the convenience of the 80% of VA Volunteers that reside in Durham. The facility must have a well lit parking area and provide door men to assist volunteers, many who utilize wheelchairs and scooters, in and out of their vehicles. The facility must include a minimum of 2 separate wheelchair accessible rest rooms for men and women. The facility must include elevators that can accommodate wheelchairs and scooters. The banquet room should provide linens and items to coordinate with the color theme at no cost, have the ability for a sound system and microphone for entertainment. The facility shall allow VA staff entry as early as noon on the day of the event to prepare the room for the theme and set up of an awards area. The facility must be conducive to photo opportunities and able to handle large cameras and tripods for Medical Media to set up. The parking lot must be on the same lot of the facility rather than a public or private parking lot, must not charge volunteers for parking, and be wheelchair accessible to the main entrance with assistance from the facility staff for elderly volunteers needing one on one assistance. The facility shall honor the federal government as tax exempt and charge no tax on services, food etc. The applicable NAICS Code is 721110 with a size standard of $7 Million. No formal solicitation document exists at this time. Responses to this sources sought notice should include the following: name and address of company; business size (large or small); identify whether or not firm falls into any of the following socioeconomic categories - 8(a), HUBZone, Service Disabled Veteran-Owned; any pertinent information, which demonstrates ability to meet the above requirement.
