Description
2010 DoD Symposium Combined Synopsis/Solicitation Questions This serves as amendment #1 to the 2010 DoD Symposium combined synopsis and solicitation: W91WAW-10-T-0015. Below are Government answers to submitted contractor questions. 1)(Q): Will overnight guestrooms be needed for the symposium? (A): Yes, we will need overnight guestrooms. 2)(Q): Can you provide the dates lodging will be needed and the number of rooms per night that will be needed? (A): Preferred dates are 14-18 June 2010 with 350-400 rooms needed per night. 3)(Q): In reference to the above listed solicitation, the statement of work states that food and beverage will not be paid by Operational and Maintenance Funds. Does this mean the cost of food and beverage shall not be included in the proposal and the food and beverage should be sponsored by the hotel? (A): The Army does not pay for light refreshments at meetings or conferences. Light refreshments may be provided in situations where the cost of the refreshments is a non-severable portion of the cost of the conference rooms and the facilitys price for the conference rooms and light refreshments would be the same as charged for only the conference rooms. 4)(Q): Are the meeting dates from June 14 to 18, 2010? If so, what are the number of rooms per nights? (A): 350-400 rooms per night. 5)(Q): Are these dates locked in (June 14-18, 2010) or is there flexibility in considering other dates? (A): These are our preferred dates with 7-11 June 2010 as an alternate. 14-18 June is preferred by our General and the Cards are in town. 6)(Q): What dates will guests be arriving/checking in for the symposium? (A): Mostly the day prior, Sunday 13 June 2010. 7)(Q): How many civilian attendees will be registered with a hotel room? (A): Approximately 100 civilian attendees. 8)(Q): How many quest rooms per night should be reserved each evening? (A): 350-400 guest rooms. 9)(Q): Will civilian attendees pay a registration fee to cover the breaks and reception? (A): Yes. 10)(Q): Will the hotel collect the registration fee at check in? (A): Yes, then provide a receipt to attendee to give to MPSA personnel at conference check in for their badge and registration package. 11)(Q): Will Atlanta be considered for the 2010 DoD Symposium? (A): No, were alternating locations throughout the country. An east coast location will be considered for the 2011 DoD symposium. 12)(Q): What does Refreshments will not be paid by O&M Funds mean? (A): The Army does not pay for light refreshments at meetings or conferences. Light refreshments may be provided in situations where the cost of the refreshments is a non-severable portion of the cost of the conference rooms and the facilitys price for the conference rooms and light refreshments would be the same as charged for only the conference rooms. 13)(Q): Historically, how have the Hotels handled the collection of registration fees for those attendees that are not staying within the Hotel? (A): Hasnt happened. Cash was handled by MPSA and deposited with Hotel. 14)(Q): What methods are put in place to ensure that an Attendee has paid prior to attending the conference? i.e., wrist band, etc. (A): Hotel should provide receipt to attendee and then they will get their badge/registration package from the conference registration desk. 15)(Q): Can you please provide the name of the Hotel where the conference was held in Orlando and Phoenix? Or do you have the day by day guest room pick-up available? (A): Orlando-Doubletree and Phoenix-Wyndham. 16)(Q): Are you looking for just a hotel facility or are you looking for a company like us to handle the conference planning and logistics ? (A): Were are just looking for a hotel that can provide the guest rooms, meeting spaces, and audio visual collocated together. The combined synopsis/solicitation closing date and time has been changed from: 9 December 2009; 1:00 PM E.S.T to 14 December 2009; 1:00PM E.S.T. Quotes shall be submitted to James Canady III via electronic mail: james.canady1@us.army.mil. No telephone inquiries will be accepted.
