Description
The National Geospatial-Intelligence Agency has a requirement to host a Community Geospatial-Intelligence Training Council (CGTC) Conference, 22 March 2010 to 25 March 2010. The conference will consist of one day of meetings with Chair and the Executive Chair of the CGTC and one day for the working group meetings and two days for the general body sessions. The primary goal of the CGTC is to share information as a collegial body of community organizations that work geospatial-intelligence training issues to include establishing standards. Conference Requirements: • Must be ADA (Americans with Disabilities Act) Lodging • Each individual will be responsible for their lodging (lodging costs should not be included in the proposed costs) • Hotel located in the Tampa, FL • Four star hotel with full service dining on site • Overnight accommodations (single) for approximately 80 - 100 participants with the release of rooms not reserved by an agreed upon date • Approximately 100 - 125 participants for meals but able to adjust if needed. • Location offering per diem per night for lodging ( rates are to be in accordance with the JTR) Parking • Free or reduced parking rate for conference attendees Transportation • Free or reduced rate for airport shuttle transportation Internet Connection • Free or reduced rate for access to internet in lodging rooms Registration area (22-25 March 2010) • Registration desk for participants to register, collect conference materials, and pickup badges • The message center is to be used as the registration area to retrieve and leave messages for anyone attending the conference. Also used to assist any conference participants. The registration desk is manned by members of the CGTC team. Small Office (21-25 March 2010) • Small room (that can be locked when not in use) to be set up as an office to receive shipment of equipment and other materials • Store and lock computer equipment • Set up conference packets • Test conference AIS equipment Pre-Meeting Room for CGTC Chair and Executive Director (22 March 2010) • Room to accommodate 40 participants for one (1) full day • Projection screen General Session/Ballroom (23-25 March 2010) • General session/ballroom will be needed for three (3) full days • General session/ballroom to accommodate 100 to 125 participants in a u-shape for approximately 24 participants with the rest of the room in classroom style seating • Full service audio visual equipment, projection screen kit, five (5) microphones, internet connections, telephone line and a stage with podium • A dedicated project manager for the event • Internet Broadband access (ethernet or wireless) • 3 Tables with seating for stenographer/note taker, Adobe Connect web conferencing, and laptop/video projection center • Projection screen kit for the general session/ballroom Break-out Rooms (Tuesday, 23 March 2010) • Four (4) break-out rooms to accommodate 40 participants in each room for one (1) full day only (not including general session room) • Four (4) projection screens, one (1) in each break-out room Supplies • Use of business center • Include $300.00 for miscellaneous items such as office supplies, whiteboard, and handling charges for shipping, copying and faxing documents. Catering • Catering to include: o 22 March 2010 - morning break, lunch, afternoon break for approximately 40 participants o 23 - 25 March 2010 - morning break, lunch and afternoon break for approximately 100 -125 participants. o Meals must be provided in separate area. Morning break to include assorted teas, coffee, breakfast breads (muffins, bagels, pastries etc) and seasonal fruits o Lunch to include soup, salad, entrée, dessert and tea o Afternoon break to include coffee, tea, soda, cookies and brownies Catering number to be finalized as we get closer to the dates of the conference Full Text FAR clauses can be found at: http://www.arnet.gov/far. Vendors must be approved and registered in both Central Contractor Registration (www.ccr.gov) and ORCA (www.orca.gov) before an award can be made.
