Description
Q: Given the geographic guidelines you gave, is there a specific area or city that you would prefer to have the conference in? A: The requirement specifies that this conference occur in a location that lies between 70 and 280 miles away from Fort Carson. Q: Are there certain hotel amenities that would be advantageous (e.i swimming pool, fitness center, etc.)? A: Amenities are not included within the evaluation criteria; only the following factors will be used to evaluate offers: Price Past performance Cancellation Policy Q: Regarding the meal service, are you allowing the same per diem rate for the meal vouchers as the buffet service? A: It is up to the discretion of the contractor as to what dollar value to assign to the meal voucher. Please include this dollar limit in your quote. Q: Some of the breakout rooms may not be available until 7:00 pm on Sunday March 7th. They are requested at 7:00 am but are currently being used during the day. Is the group flexible to begin setting up some of these rooms Sunday night? A: No, the dates and times specified are not flexible. Q: Is the set for the breakouts flexible? Doe sit need to be u-shape or will conference, hollow-square, or classroom work? Can some of the breakouts be smaller or larger than others or do they all need to be exactly 30 people? A: Conference/theater-style and classroom seating will not work. Hollw square would. Each room must be able to accommodate 25 people. Q: Is there a budget that the conference needs to stay within in order to be considered? Have they expressed an ideal room rate? A: The government cannot provide an answer to this question. Q: 6 breakouts for 30 people U Shape = 180 people. The synopsis says it is a maximum of 125 people which would indicate more like 25 people U Shape. Is there flexibility on this point? A: Yes, there is flexibility on this point but the rooms must accommodate 25 people. Q: Can the General Session room be used as one of the breakouts? A: No, the General Session room cannot be used as a breakout room.
