- The United States Department of Agriculture, Agricultural Research Service has a requirement to lease the following items: 1 60'x160'x10 Century Pole Tent with (22) 10'x20' clear sidewalls, 1 60'x120''x10' Century Pole Tent with (16) 10'x20' clear sidewalls, 1 8'x12'x12' stage with black Astroturf and skirting, 1 12'x12'x10' tent over stage, 1 20'x35'x8' frame tent with (5) 8'x20' clear sidewalls, 5 10'x10'x8' frame tents - no sidewalls, 32 white tent pole fans (18-inch diameter) 2 60 KVA generators with distribution to power each vendor & Fans. (Generators are to power fans and exhibit booths only.), 222 Black plastic folding chairs, 120 6 ft x 30-inch banquet tables, 1 8 ft x 30-inch banquet table, 1 90 inch x 156 inch royal blue linen, 1 13ft royal blue skirt, 120 54-inch x 108-inch white plastic table covers, 160 plastic table clips, 64 10'x10' pipe and drape (royal blue) booths in 60'x160' tent, 48 10'x10' pipe and drape (royal blue) booths in 60'x120' tent, 1 on-site electrician from 9:00 a.m. EST to 4:00 p.m. EST on June 5th. The vendor will provide set-up as well as disassemble the tents when event is completed. The contractor must begin setting up by 10:00 AM on the morning of June 1, 2010 and end at 4:30 PM on June 1. Work may resume on June 2 at 9:00 AM and continue until completion; however, all setup must be completed by 4:30 PM on June 2. After the two large tents are erected, the contractor shall install the pipe and drape for the booths following a CAD drawing prepared by Facilities Services which will be available on or about May 17, 2010. This drawing will also indicate the requirements of each booth (number of poster boards, tables, and chairs). Approximately 100 poster boards belonging to Facilities Services must be picked up at Building 426 on Powder Mill Road in Beltsville, Maryland, on June 2 and delivered to the tents. The contractor must take down all tents, poster boards, pipe, drapes, tables, chairs, and disconnect all fans and generators by 4:30 p.m., EST Monday, June 7. The 100 poster boards belonging to Facilities Services are to be returned to Building 426 on June 7. Access to the Center is not available on Sunday, June 6. Given the size and nature of the event, there is a chance that some last minute additions or changes may be required. The contractor must be able to respond to any last minute changes, such as requiring any additional items such as tables, chairs, pipe and drapes with 2 hours of the request to the tent location. A picture of the 60 ft. x 160 ft. Century pole tent to be used at Field Day must be provided with your written quote to help demonstrate that it meets the minimum requirements. Interested vendors must have a valid registration in the Central Contracting Registration System (CCR).
