Description
THIS IS A SOURCES SOUGHT SYNOPSIS ANNOUNCEMENT; A MARKET SURVEY FOR INFORMATION ONLY. THIS IS NOT A SOLICITATION FOR QUOTES AND NO CONTRACT WILL BE AWARDED FROM THIS SYNOPSIS. NO REIMBURSEMENT WILL BE MADE FOR ANY COSTS ASSOCIATED WITH PROVIDING INFORMATION IN RESPONSE TO THIS SYNOPSIS OR ANY FOLLOW-UP INFORMATION REQUESTS. THE PURPOSE OF THIS SYNOPSIS IS TO GAIN KNOWLEDGE OF POTENTIALLY QUALIFIED SOURCES AND THEIR SIZE CLASSIFICATIONS (SMALL BUSINESS, LARGE BUSINESS, ETC.) PLEASE DO NOT REQUEST A COPY OF A SOLICITATION, AS ONE DOES NOT EXIST. The Government is seeking, qualified, experienced sources, having facilities located within Montgomery, Alabama, interested in providing the services associated with being the venue for five (5) AFSNCOA Graduation Ceremonies to be held on the following dates: 9 Dec 10, 11 Mar 11, 26 May 11, 20 Jul 11, and 19 Oct 11. The ceremonies are formal affairs held during evening hours that involve contracted beverage and meal service. The contractor will provide kitchen facilities, on premises, suitable for the preparation of a hot, full course meal and accommodate the servicing and orderly cleanup of the same. Kitchen facilities should ideally be located with direct access to the main dining area to allow the caterer to serve meals to 900-1600 guests within 20 minutes of the start of the main meal course. Total number of attendees is not expected to exceed 1600, per event. The facility must be able to accommodate up to 1600 total guests in a single large room for the formal event as well as provide parking and security for all attendees. The contractor must provide a stage to accommodate two separate head tables with a podium in the center. The head tables must comfortably accommodate a minimum of 20 (10 per table) people during the event and allow the posting of AFSNCOA supplied flags. The contractor shall provide podium, microphones, stagehands, janitorial staff, head table, seating, and parking for the required number of guests and VIPs. Support requirements include: Fire/safety provisions and security for duration of event; audiovisual support including spotlights, video camera, screen/projects, CD player, audio headsets, extra microphones, and audio feed to video capacity; Four large screen projection displays viewable by majority of audience; Distinguished Visitor lounge. General on-site support staff is required. On-site support staff should be in place from 1230 hours to completion of event. All set-up and clean up is accomplished by the contractor. The facility must be available to the AFSNCOA at 1230 hours the day of each event for set-up of AFSNCOA owned items, practices, and preparation efforts. Contractor must be willing to participate in an after-action meeting to discuss the event, possible improvement areas, areas requiring further coordination, and action items to be accomplished prior to the next scheduled event. Additionally, a separate and VIP appropriate lounge area is required for accommodation of up to 40 guests. This area ideally should be located adjacent to the event room with a separate entrance and equipped with a bar and bartenders. Government will have regular contact with the contractor prior to each event to focus on number of attendees, required set ups, and other logistics. Therefore, the Government is requesting that interested concerns furnish the following information: (1) Company name, address, point of contact, voice and fax telephone numbers and e-mail address. (2) Type of business, i.e., small, small disadvantaged, woman-owned, Hub Zone, serviced-disabled veteran-owned small business, large business, etc. under North American Industry Classification System (NAICS) 531120 which contains a size standard $7 million.
