Description
Private Counsel Seminar 2010 - Kansas City The Department of Justice (DOJ), Conference and Contract Section, intends to award a contract to a qualified vendor who can provide sleeping rooms, meeting space and snacks for conference services in Kansas City, Missouri from October 24th through October 28th, 2010. These dates are subject to change; therefore, interested vendors can provide similar dates for this conference if they cannot accommodate the requested dates. It will be known as the 2010 Private Counsel Seminar. The conference venue must include at a minimum: 1. Locations & Dates: Kansas City (Missouri)[Downtown/Crown Center areas are preferred, but not absolutely required. Proposals from properties in other locations which can accommodate the number of attendees will be considered. Reasonable transportation to and from Kansas City International Airport is required.] October 25 - 29, 2010 Conference planned for 3 full days with travel on the 25th and 29th. Hotel check-in on October 25th -- maximum of 4 nights -- check out on October 29th 2. Meeting Facilities: Tuesday, October 26 through Thursday, October 28, 2010 (Three days) ∙ 1 "Main" conference room for all day sessions for 140 people ∙ Auditorium-style configuration if available; Classroom-stye, if auditorium is not available ∙ 1 logistics room for staff (up to 10 people) 12 hour use (7 a.m. to 7 p.m.), phones, fax, copier and computer accessibility. Wednesday, October 27, 2010 (One day only) ∙ 1 "Breakout" room for an all day session for 60 people ∙ Classroom-style configuration ∙ Reasonably close to the Main conference room ∙ Room must be available for three hours on Tuesday for equipment set-up and testing 3. Audio-visual and Other Equipment: A. Main Conference Room (three days): Podium and two wireless microphones with appropriate speakers. Two handheld wireless microphones. Large projection screen for presentations and related audio visual equipment. B. Breakout Room (one day): Seating for 60 people. Podium and wireless microphone and speakers. Large projection screen for presentations, and related audio visual equipment. Internet access suitable for training session for 60 people. Breakout room should be in close proximity to main conference room. C. Registration table each day. 3-4 tables outside main conference room on days two and three for professional presentations. 4. Sleeping Rooms: 140 sleeping rooms must be available for the nights of October 25-28, 2010 (checking out on the 29th). Participants will make reservations individually from a block of rooms. The Department of Justice will pay on a Master Account for sleeping rooms only and is tax exempt. The selected vendor will require a credit card for "incidental personal charges" from each guest. 5. Catering Requirements: ∙ October 26, 27 and 28, 2010. Possibly, coffee, tea and juices for a.m. break and coffee, tea, soda and cookies for p.m. breaks [Please include pricing in proposals, as an option] (140 people). • Restaurant/coffee shop facilities able to serve 140 guests adequately at Breakfast and Lunch each day. 6. Location: The hotel must be able to accommodate the entire conference in one facility. Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. 7. Rating Criteria: The government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be most advantageous to the government, price, location and availability of rooms. Prospective vendors are to submit a quote that include a written proposal addressing all of the services, types of accommodations and equipment to be provided. Proposals are to be priced under the following topics, which include total and itemized rates/prices, quantities: Lodging, Catering, Meeting Facilities, and Audiovisual. The requirement will be procured under Far Part 12, Acquisition of Commercial Items. FAR 52.212-3, Offeror Representations and Certifications-Commercial Items, must be completed and included with any and all offers submitted in response to this solicitation. FAR Clauses 52.212-4, Contract Terms and Conditions-Commercial Items is hereby incorporated by reference. The Clause at 52.212-5, Contract Terms and Conditions Required to Implement Statutes or Executive Orders-Commercial Items is hereby incorporated by reference.
