Description
DOC-FMC-2011 Amendment A001 Questions and Answers 1-9 The purpose of this amendment is to provide responses to questions posed by potential offerors. Below is a list of the questions posed, and their respective responses from NIST: 1. Where do you intend on placing this requirement? Response: In the Scope of Work section of the SOW, one of the Go/No Go criteria is stated as "Must be located not less than 50 miles and not more than 225 miles from Washington, DC 20230." 2. Are there any dates in 2011 besides May 3, 4, and 5, 2011 that would be considered acceptable if available? Response: No, see the Go/No Go criteria listed in the Scope of Work section of the SOW. 3. Will you accept proposals from third parties? Response: No, quotations must be submitted by a hotel capable of meeting all requirements. Award will be made to the hotel. 4. Are the dates listed in the "option" period of performances considered alternate dates in the event that the DOC is unable to hold the event from May 3-5, 2011? Response: No. This requirement is for a base period (Spring 2011), and three option periods (Spring, 2012, 2013, and 2014). In each of these periods, the conference dates have already been set and are firm. The dates for 2011 are May 3, 4, and 5. There are no alternate dates for the 2011 DOC Financial Management Conference. Should the Government exercise the first option period on the resultant purchase order, the Government then contracts with the awardee for the dates of May 1-3, 2012 for Option Period I; May 7-9, 2013 for Option Period II; and May 6-8, 2014 for Option Period III (See Section 3 Period of Performance in the SOW). 5. Are we able to submit the quotations electronically via email, or are you only accepting them through traditional mail. Response: Quotations must adhere to "overall arrangement of quotes" (See Addendum to 52.212-1) and must be submitted through traditional mail to the address specified in the Instructions to Offerors section of the Combined Synopsis/Solicitation. 6. In the Conference Specifics section of the SOW, it lists "One complimentary (no charge) hospitality suite for 30 to 40 people for two nights." Does NIST require a total of 30 to 40 complimentary hospitality suites or does NIST seek one hospitality suite per 30 to 40 sleeping rooms? Response: The Government requires one hospitality suite fit to accommodate 30 to 40 people for both nights. Therefore, this hospitality suite that is capable of fitting 30 to 40 people shall be available May 3, 2011 and May 4, 2011. 7. Have you contracted with a third party for this meeting? Response: No. NIST has not contracted with any third parties for this requirement. Please see response to question 3 in this amendment. 8. It states that the meeting must be not less than 50 miles and not more than 225 miles from Washington DC. Is there flexibility on this requirement? Response: No. This is one of the Go/No Go requirements. 9. The solicitation states that you will accept quotations for 2011-2014. If this is the case, I am interested in bidding on 2012. Is this possible? Response: No. As stated in the response to question 6 of this amendment, the requirement is for one base period, and three option periods. Quotations for only one of these periods will not be acceptable. Offerors must quote for the base period and each of the option periods. END OF TEXT.
