Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Requirements The 129 Rescue Wing of the California Air National Guard will conduct an event in the Monterey CA local area, on April 16 & 17, 2011. The unit is seeking a FEMA registered facility within three miles of city center that can provide lodging to accommodate families to include children. At minimum Hotels will be required to have a three star rating currently listed on hotels.com and provide full dining and meeting facilities for up to 350 event attendees. Contractors shall provide the following as outlined below. Scope of Requirement 1. CLIN 0001Sleeping Rooms, 150 guest rooms per night for a total of 300 room nights for this event. All guest rooms must be available for double occupancy, individual / private sleeping rooms with toilet and shower / tub facilities, with options for rooms to have two beds per. Additional accommodations should be available for families containing more than 4 family members or for family members with special physical needs requirements. 2. CLIN 0002Meeting Facilities, One conference room required to accommodate approximately 300 attendees, using round table and or classroom style/ stage set up; Three separate break out conference rooms required to accommodate approximately 50 attendees, using classroom and or round table style set up; One conference room required to accommodate approximately 100 attendees, using classroom and or theater style set up; Three smaller breakout rooms, each able to accommodate 20 children and caregivers. 3. CLIN 0003Dining,Food and / or catering service must be available on the premises for breakfast, lunch, and evening meal periods for individual attendees. One group meal will be requested for a single conference room, 300 attendees. Contractor shall be able to provide light refreshments to accommodate 300 adults and 50 children per request. Light refreshments to include coffee, beverages and a light snack to be provided, child friendly refreshments / drinks will be age appropriate and nutritious. 4. CLIN 0004Audiovisual Equipment,Contractor shall be able to provide the following setup and equipment, TV and DVD cart combo in 2 childcare rooms, podium, microphone, screen, cart combo equipment and internet service in conference room, video screens must be of a size to ensure all attendees can easily view presentations, contractor will provide setup and LCD projectors and podiums in each of the break out conference rooms and allow access using government furnished laptop computers with Microsoft PowerPoint application. Government is permitted to connect its equipment to the contractor's equipment and power supplies with no additional cost to the government. 5. CLIN 0005Child Care Services / Activities, Child care contractor to provide safe and secure all ages child care for the children during event, contractor will be set up on sight half hour before the scheduled start time of all events and furnish age appropriate games, toys and activities, contractor will provide appropriate child to staff ratio allowing for, registration, meals and security procedures insuring safety of children at all times, contractor will be fully insured, documented and with current first aid and safety training required to care for children according to local and state regulations, hotel contractors excluding this service from written quotes will provide full access to approved outside vendors to support this requirement. The Contracting Officer will evaluate equal products and or services on the basis of information furnished by the offeror or identified in the offer and reasonably available to the Contracting Officer. The Contracting Officer is not responsible for locating or obtaining any information not identified in the offer. All contractor facilities providing written quotes will undergo a site visit (security / safety review) to be accomplished by assigned areas of responsibility within the CA ANG. The Contracting Officer will use the site visit results in making a final determination for contractor holding this event. The Government is not responsible for developing the comparison from insufficient information provided. All qualified sources may submit a response, which if timely received, will be considered by this agency. The Government does not intend to pay for information solicited. Information received after the established deadline shall not be considered. CCR Requirement - Company must be registered on Central Contractor Registration (CCR) before an award could be made to them. If company is not registered in CCR, they may do so by going to CCR web site at http://www.ccr.gov. In accordance with DFARS 252.232-7003, Electronic Submission of Payment Requests and Receiving Reports, the contractor shall submit their payment request electronically using the Wide Area Workflow (WAWF). The WAWF website is located at https://wawf.eb.mil. There is no charge to use WAWF. Contractors must register to use WAWF at this website and ensure an electronic business point of contact (POC) is designated in the Central Contractor Registration site at http://www.ccr.gov within ten (10) calendar days after award of this contract. Contractor training is available at the website Home Page, under about WAWF. This contract incorporates one or more clauses by reference, with the same force and effect as if they were given in full text. Upon request, the Contracting Officer will make their full text available.
