Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals/quotes are being requested and a written solicitation will not be issued. This is not a total small business set-aside. The associated NAICS code is 721110 and the small business size standard is $7Million. The small Business Competitiveness Demonstration Program is not applicable. This solicitation is issued as a Request for Quote (RFQ). Any offers received will be considered. However, due to extensive market research, best available pricing, and unique security requirements, it is the Government's intent to award to Embassy Suites, 800 Monroe St., Huntsville, AL 35801. The hosting hotel shall provide the following: Conference dates are: 7-10 March 2011. PLAN: On 7-8 March 2011, a registration desk will be located near the hotel registration desk to accommodate those participants that did not previously register on the conference website. REQUIREMENTS: ROOM RENTALS: A main briefing room is needed for 8-10 March 2011. The main briefing room should accommodate up to 250 people. This room will be used to accommodate all participants to receive Reset information & presentations (briefings) and discussions. Use of this room is required for the entire duration of the Reset Conference. The meeting room is needed for 7-10 March 2011. No additional AV requirements needed. This room will be used to accommodate selected conference participants to discuss specific topics separate from the main audience (sidebar discussions). This room will also be used as the meeting location for the Networking Session for conference participants on 7 March 2011. The use of this room is required for the entire duration of the Reset Conference. AUDIO/VISUAL SUPPORT: Needed primarily for the main ballroom. Requires audio/visual (AV) capability, (3) projection screens, internet access, 2 wireless microphones, and a podium for briefers and audience participation. SNACKS: Needed for 8-10 March 2011. Mid-morning and mid-afternoon refreshments are requested to ensure conference attendees will remain at the conference location during the course of the conference. Refreshments will include juices, coffee, assorted teas, sodas, cookies and water. NETWORKING SESSION: Needed for 7 March 2011. Senior leadership and conference participants will use this time to discuss Reset-related topics. Requires only light refreshments and water. No AV support is needed. The following provisions apply to this acquisition: 52.212-1, Instructions to Offerors -- Commercial 52.212-4, Contract Terms and Conditions -- Commercial Items 52.212-5, Contract Terms and Conditions Required To Implement Statutes Or Executive Orders -- Commercial Items, The offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications -- Commercial Items, with its offer. 252.232-7003 Electronic Submission of Payment Requests and Receiving Reports. 252.212-7001 Contract Terms and Conditions Required to Implement Statutes or Executive Orders Applicable to Defense Acquisitions of Commercial Items. The Government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be most advantageous to the government, price and the factors contained in the solicitation. ALL quotes and ALL related questions must be submitted to the following email address: rhonda.m.reeeves@us.army.mil. No phone calls, please. As part of your proposal please provide a statement indicating that you are able to meet ALL of the requirements mentioned in the RFP. Your hotel must have a block of sleeping rooms available for the dates indicated to accommodate the stated number of personnel. If you cannot meet ALL of the requirements, your proposal will be considered technically unacceptable and you will not be eligible for award.
