- Questions pertaining to 2011 U.S. Strategic Command Deterrence Symposium 1. We want to avoid being financially responsible for the catering contract (we prefer our clients sign vendor contracts), can you please clarify the statement under Catering, "Contractor will accept all financial responsibility for payment to catering service?". We suggest collecting all conference fees and then handing all revenues after any refunds or adjustments are made to our client, at which time they can pay for all support services such as the caterer. Under this contract is the successful contractor expected to pay catering upfront and be reimbursed? Answer: The government will not sign a contract for catering service. Yes, successful contractor is expected to pay catering upfront with registration fees they have received. 2. Would your organization like to have the ability to update content themselves (have the capability of having multiple users do this)? Answer: We would like the ability for a couple personnel to view information. 3. When we submit our quotes do we include the meeting space and meals into the final numbers or will the agency pay for the meeting space separately? Answer: the government will contract for the venue. 4. I have a question about this solicitation. All of the information needed to complete the web page requirements would need to come from you. When will that information be provided? The section of the solicitation in question is listed below. Sec 8 Contracted Event Planner Responsibilities a. Create and maintain a DS 2011 event website with the following pages: • Event summary • Event agenda • Speaker/panelist biographies • Event registration • Event lodging information and links • "Things to do in Omaha" links • STRATCOM Event staff contact listing • Prior year's event summaries with link to USSTRATCOM video webpage • Information on who to contact for event questions (STRATCOM) and registration system problems (contracted event planner) Answer: STRATCOM will provide information needed to complete the web page requirements as soon as contract is awarded. Contractor in coordination with STRATCOM will create the design of website. Some of the information on the website will have to be updated periodically. Questions pertaining to 2011 U.S. Strategic Command Deterrence Symposium 1.Was there an incumbent for the two previous meetings and what were their names? Answer: No, there was no incumbent for the two previous Deterrence Symposiums. 2.Assuming an event planner was contracted to assist with the 2010 STRATCOM conference, what was the contract amount? Answer: No event planner was used for the 2010 USSTRATCOM Deterrence Symposium. 3.Are contractors to assume the government contracts with the venue? Answer: Yes, the government will contract for the venue. 4.Does the government determine all food and beverage selections? Answer: The government will coordinate with the event planning contractor and the event planner will contract with the venue caterer. 5.Does the government determine food and beverage prices based on 500, 650 or 700 registrants? Answer: The government will set the registration fee and it is solely based on food and beverage costs. 6.Is the registration fee based solely on food and beverage costs and does the government set the fee? Answer: Yes, the government will set the registration fee and it is solely based on food and beverage costs. 7.If the registration fee is based upon an agreed number of attendees (500, 650 or 700) but the actual number exceeds that anticipated, how is the contractor to be compensated for the overage as it has contracted with the conference center caterer for a smaller amount? Answer: Each symposium registrant will pay a registration fee that is to cover the cost of meals. In the past we have worked with the venue caterer and kept them updated on our expected numbers, seven days prior to the event we were able to give the caterer and updated numbers, and then we updated the caterer on the day of event with last minute changes. 8.Are contractors to assume food and beverage costs are not to be included in the contractor's price proposal? Answer: That is correct, food and beverages costs are not to be included in the contractor's price proposal. 9.What were the registration fees for the two previous conferences and for how many attendees? Answer: Registration fee for 2009 was $150.00 and had 492 attendees. The registration fee for 2010 was $165.00 and we had 642 attendees. 10.Does the government require a specific domain name (e.g., DS2011.com) or can its website be added to an existing website (companyname.com/DS2011)? Answer: The government would require a specific domain name. 11.Is there an existing website that was used for past symposiums? Answer: No, it no longer exists.
