Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This announcement constitutes the only solicitation; quotes are being requested and a written solicitation will not be issued. This is a Request for Quotation (RFQ) numbered W91ZLK-11-T-9999. This solicitation document and the incorporated provisions and clauses are in effect through Federal Acquisition Circular 2005-49. The Visual Information Services Center (VISC) at Aberdeen Proving Ground, MD (APG) has a requirement for the rental of an original; custom designed & constructed Army Exhibit, with AV rental equipment, accessories and graphics production for participation in the Latin American Aerospace & Defense Exhibition (LAAD) April 12-15, 2011 in Rio De Janeiro Brazil. Services to be performed under this contract are listed below in detail under the Statement of Work please see additional attachments for more details. STATEMENT OF WORK Vendor shall, by the most economical means: a.Provide technical design renderings & drawings for VISC's review / approval or change to meet the specific exhibit requirements for the Army's participation at LAAD. The exhibit design is to be based on 90sqm of exhibit space (9 meters X 10 meter) in an island configuration utilizing system build equipment for the design & construction. The Army's exhibit space is located in Hall 3, Space Number Q100 of the Riocentro Exhibit Center in Rio de Janeiro, Brazil. b.Ensure the design & construction of the exhibit accommodates the inclusion of a Meeting Room, with accessories, that is no less 12 square meters of floor space. c.Provide a Vendor Project Manager for the management of all pre-event, on-site and post-event communication & coordination of all executable exhibit requirements with the VISC Army Exhibit Manager. d.Provide the custom designed & constructed exhibit per the approved plans & drawings to be constructed in the Army's designated exhibit space, in the designated exhibit hall at the designated event site for the dates & times as published by the Event Management. e.Provide exhibit lighting of the types & quantities per the approved exhibit design. f.Provide carpet & padding as approved for the entire, designated exhibit spaces at both events. Carpet color is to be Navy Blue. g.Provide the installation of electric power lines in the Army Exhibit and provide the VISC with an electrical layout plan & drawing(s) for review & approval. h.Complete & submit to Event Management, for official Management approval, the technical drawings indicating the layout of the power lines and the amount & type of power required to safely operate the Army exhibit. i.Provide audio-visual rental equipment of the size, type & number of units as indicated & required; with the installation thereof; technically maintain the equipment during the event and then remove the equipment once the event closes. j.Provide graphics production as required, at the size, type and piece count specified by the VISC, from files provided by the VISC. Also, provide other graphics artwork, as required & specified by VISC, to enhance the appearance & presentation of the Army Exhibit. k.Provide other exhibit support services, as required on-site for the full & complete construction and operation of the Army Exhibit for the duration of the event. l.Assist the VISC Army Exhibit Manager with the completion & submission of event forms pertaining to the technical specifications of the exhibit's construction or related technical aspects of the exhibit that are required by Event Management and as requested by the VISC Army Exhibit Manager. m.Provide the transport to & from the event site, designated exhibit halls and the Army's designated exhibit space of all rental exhibit infrastructures, AV equipment, graphics, exhibit accessories and other required exhibit equipment. n.Provide the full & complete installation and then the subsequent dismantling and removal of all rental exhibit infrastructures, AV equipment, accessories and other required equipment in the designated exhibit hall and the designated Army exhibit space within the specific, finite deadlines as required and advertised by Event Management. o.Ensure that the exhibit and its on-site support logistics meets or exceeds all technical and safety requirements as outlined and documented by Event Management in its published "Rules & Regulations for Exhibiting." Evaluation Criteria: 1. Design Concept (color renderings) 2. Layout/Ergonomics 3. Cost 4. Past Performance ( Similar international Government trade show work) provide previous contract number and POC to include phone and e-mail. Failure to provide the required information will result in a non-responsive offer, ineligible for award. Preference will be given to Small Business under NAICS 541490 should no small business offer an acceptable quote large business quotes will be considered.
