- AMENDMENT- Posting of QUESTION & ANSWERS for all interested is vendors: QUESTION: How many different options can we submit for the hotel selection? RESPONSE: There is no limit. Just make sure they address the requirements of the synopsis/solicitation. QUESTION: Can another hotel host guest at a per diem rate. For example, can one hotel guarantee 100 rooms at a per diem rate and another hotel host the other 50? RESPONSE: It is highly recommended that all conference attendees be co-located at the same hotel. We will review all options but it is not the required state. QUESTION: Is there any one particular chain that should not be used? RESPONSE: Our primary concern is the health, safety and security of the conference participants. No hotel chain is excluded. QUESTION: Is there any measurement that the projector or screen should be? RESPONSE: Exact measurements are not known. The only requirement is that the conference participants be able to see what is being presented on screen. Understanding that 200 people seated in a classroom style room, may not allow the smallest data to be read by the people sitting the farthest away from the screen. Perhaps, a minimum size of 15' x 15' can be considered. However, it really depends on how the room (chairs and tables) is configured. QUESSTION: Is the group requesting 150 rooms on May 23 and May 24 and May 25? Or just May 24 & May 25 with a few rooms on May 23? Response: 150 rooms are required on 23 May - 25 May. Please note that this number may fluctuate--all conference attendees may not check-in on the 23rd/depending on travel arrangement. The conference ends at noon on 26 May; therefore, an estimated 50 rooms may be required for those individuals who's travel plans may not allow them to leave on the 26th. QUESTION: In regards to the breakouts, were you going to need roving microphone for the breakouts? RESPONSE: The roving microphones are primarily needed for the main (large) conference room; however, they may also be utilized in the breakout rooms if needed. QUESTION: How many flip charts did you need for the breakouts? RESPONSE: The flipcharts - 2 in the main conference room and 1 in each breakout room. This may also change if the flipcharts are not being used in the main conference area. QUESTION: Does the group require 150 guestrooms per night starting on May 23 or May 24? RESPONSE: Yes both nights. QUESTION: Meeting space is needed 8a-5p on May 24, 25 and 26? RESPONSE: Space Requirement May 24-25 (8:00 - 5:00); May 26 (8:00 - 12:00) QUESTION: Can one of the breakout rooms be the general session room? RESPONSE: No, the General Session Room will be used as a Breakout Room as needed. A total of 3-Rooms are required (1-room to accommodate 200 individuals and 2-rooms to accommodate 50-70 individuals). QUESTION: What is the set-up for the breakout rooms? RESPONSE: All Rooms should be set up in classroom-style layout with no more than five people per 8' table. Conference Location is Chicago, IL. Reference ADENDUM 52-212-2, Paragraph 3. ALL OTHER TERMS AND CONDITIONS REMAIN UNCHANGED. The CLOSING DATE IS NOT CHANGED.
