Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This is a combined synopsis/solicitation for commericial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposal/quotes are being requested and a written solicitation will not be issued. This is not a total small business set aside. The associated NAICS code is 721110 and the small business size standard is $7 Million. The Small Business Competitiveness Demonstration Program is not applicable. This solicitation is issued as a Request for Quote (RFQ). The 2011 Kiowa Warrior Users Conference will be held in Huntsville, Alabama from 27-29 April 2011. Conference attendance is estimated at 225 individuals. The contractor shall furnish hotel rooms, conference fee processing, conference rooms and support equipment, internet, catering, and other ancillary services, as specified below: A. Individual Room Reservations. The contractor shall provide a block of 150 hotel rooms. All Active Duty Military Personnel and Government employees shall receive a room rate equivalent to the Government-set Per Diem rate of $86. All other attendees shall receive a discounted group package room rate. The individuals attending this conference will be responsible for establishing their own room reservations and are personally responsible for rendering payment. The U.S. Government will not be held accountable and/or charges fees for individual hotel room accommodations/room charges. The contractor shall hold the block of hotels room as long as possible at which time the unused rooms shall be released into the general inventory. B. Registration and Support Area Equipment. The contractor shall provide a registration area with two (2) tables, two (2) chairs per table, one (1) small garbage can per table, immediate access to at least one (1)electrical outlet per table, and high speed internet access (hardwire drop) for the following times: 1) Wednesday, 27 April 2011, 7:00 AM to 7:00 PM 2) Thursday, 28 April 2011, 7:00 AM to 7:00 PM 3) Friday, 29 April 2011, 7:00 AM to 7:00 PM C. Main Meeting Conference Room & Support Equipment. The contractor shall provide one main meeting conference room with high speed internet access (hardwire drop), and sufficient space to accommodate 225 people in a combination of theater type and classroom-type seating with a stage area for the conference speakers, for the following times: 1) Wednesday, 27 April 2011, 7:00 AM to 5:00 PM 2) Thursday, 28 April 2011, 7:00 AM to 5:00 PM 3) Friday, 29 April 2011, 7:00 AM to 1:00 PM The contractor shall set up the main meeting conference room prior to the times shown above and shall provide: a) One (1) screen of a size large enough to be easily visible to all attendees. b) Two (2) wireless lapel microphones c) Two (2) handheld microphones d) One (1) projector, one podium with microphone and light e. One (1) audiovisual table for the slide attendant and an additional table and chairs for a minimum of two (2) audiovisual technicians throughout the conference. D. Breakout Conference Rooms & Support Equipment. The contractor shall provide one (1) breakout room to accommodate 50 people each during the times listed below. The breakout room shall have high speed internet access (hardwire drop), classroom seating, one projector, and one screen. Thursday, 28 April 2011, 7:30 AM to 5:00 PM E. Parking. The contractor shall provide free on-site parking for conference attendees. F. Catering Services. The contractor shall provide the catering services for light refreshments in the morning (coffee, tea, juice, pastry, fruit) and afternoon (coffee, tea, soda, cookie/pastry) for the 27-28 April 2011, and morning refreshments (coffee, tea, juice, pastry, fruit) on Friday, April 29,2011 for conference sessions. The following provisions apply to this acquisition: 52.212-1, Instructions to Offerors -- Commercial 52.212-4, Contract Terms and Conditions -- Commercial Items 52.212-5, Contract Terms and Conditions Required to Implement Statutes or Executive Orders -- Commercial Items, The offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications -- Commercial Items, with its offer. 252.232-7003 Electronic Submission of Payment Requests and Receiving Reports. 252.212-7001 Contract Terms and Conditions Required to Implement Statues or Executive Orders Applicable to Defense Acquisitions of Commercial Items. The Government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be most advantageous to the government, price and the factors contained in the solicitation.
