Description

Question 1 - Is this a first-time meeting? If not, share past year history (2009-2010 dates, location and pick up) Answer 1 - No, past conference (3 yrs ago) was held in Kansas City MO. Hotel Information: Hyatt Regency Crown Center 2345 McGee Street Kansas City, MO 64108 Question 2 - For a ballroom that is 5,845 sq ft and divides into three sections. Would you be able to re-use space as one or both of your break rooms? Answer 2 - The requirement is for an approx total of 6200 sq ft (4000 general session/1100 each breakout), a ballroom of 5845 sq ft will not satisfy the request. If they would like to use 5100 sq ft of the 5845 sq ft ballroom for general session space and 1 breakout room, that's fine. However, another breakout room will be required. Question 3 - Do you need wireless or hard-wired internet? Answer 3 - Preferred option: wireless Question 4 - Do you need an estimated audio visual proposal at this time? Answer 4 - Yes Question 5 - What time do you need the attendant in the room for the general session? Answer 5 - We would like to have an attendant in the room at all times during general sessions; unless someone will be on call for immediate assistance in case of emergencies/issues. Question 6 - Is this solicitation only open to hotels? Answer 6 - In accordance with the solicitation the "VA will not consider a proposal submitted by an offeror that is not a hotel". Question 7 - Are you requesting a contract instead of a proposal? Answer 7 - In accordance with the solicitation: "submit all prices, descriptive literature, technical proposal and a completed hotel contract ¦" Question 8 - Are the dates for the RFP flexible? Answer 8 - No
