DESCRIPTION: The U.S. Coast Guard intends to purchase the service of a contractor to block Hotel rooms from 10/17-19 for one and a half day in addition to Conference Space and A/V Equipment in accordance with the following Statement: Description: This is a meeting between U.S. Coast Guard and Transport Canada representatives. Approximately half the attendees will be traveling from various locations within Canada, and most of the U.S. Coast Guard reps will be coming from Northeast/Northwest sections of the U.S. So most attendees will need to travel via air. We decided that the Crystal City/Pentagon City area of Arlington, VA would be ideal to have the meeting in due to the fact that it is both very close to the Ronal Reagan National Airport as well as the Washington Metro Rail System and would not require attendees to deal with major traffic to/from/in DC. Most of the hotels in the Crystal City/Pentagon City area offer complimentary shuttle service to and from the airport and metro station. Name of Event: U.S. Coast Guard/Transport Canada Meeting Meeting Times/Dates: 1.5 days, 18-19 Oct 2011 18 Oct - 8:30am-04:30pm 19 Oct - 8:30am-12:00pm Attendees arrive 17 Oct, depart 19 Oct # of attendees: do not yet have a definite number - estimate maximum to be 50 people # of guest rooms: 45 rooms (singles) - (attendee # not yet definite but if 50 people attend will need approx. 45 single rooms) Room set-up: U-Shape Break-out room(s), if available - group will split into 4-5 small groups for 1-2 hours during the first day AV equipment: (1) podium with microphone, (1) wireless microphone, (1) screen, (1) stand for the projector, (1) VGA cable (we have a projector in our office we can use for this event). Note: We may be able to purchase coffee/tea and some snacks during the meeting- if not provided by the Hotel Important: Attendees would like to start making (travel) reservations and so, the time of response is of essence. All we would need is a block of guests rooms reserved. Individuals will be making the reservations and paying for the rooms themselves. In order to comply with the requirements in this Solicitation # MMN004, the responses should be based on our interpretation of the general requirements provided below. Interested persons may identify their interest and capability to respond to the requirement and submit quotations. This notice of intent is a request for competitive proposals and, all proposals received within time and date on this solicitation will be considered by the Government. A determination by the Government not to compete with this proposed contract based upon responses to this notice is solely within the discretion of the Government. Information received will be considered for the purpose of determining of conducting a competitive procurement. HOW TO RESPOND: In order to compete for this project, interested parties must be registered in the Central Contracting Registration and submit a Cost Proposal by 3:00 pm, ET, September 6th,2011. Evaluation Criteria: Award based on lowest price as well as best value determined by an Evaluating team (Hotel proximity and amenities offered).
