- RFQ, Small Business Only This is a combined synopsis/solicitation for commercial services in accordance with FAR Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; quotes are being requested and a written solicitation will not be issued. The Request for Quotation number is NAR-12-LP-0043. This Request for Quotation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular (FAC) 2005-53 effective August 4, 2011. The NAICS Code 811212 is applicable. The Offerors must state in their quote their business size standard for this procurement (Small Business, Other Then Small Business etc.). The contractor must have a Dunn and Bradstreet Number (DUNS) and be registered in the Central Contractor Registration (CCR). The period of performance is: From Date of Award through 9/30/2012 with two possible option years. This will be a firm-fixed price contract. The purpose of this contract is to obtain a copy machine maintenance agreement. USE ATTACHED RFQ documents in Reply to this RFQ SCOPE: See the Performance Work Statement below for a copy machine maintenance agreement at the George Bush Presidential Library and Museum located in College Station, TX. TITLE OF PROJECT This Statement of Work outlines the terms that will provide for copier maintenance at the George Bush Presidential Library and Museum. 1.0 Background The George Bush Presidential Library and Museum is a branch of the National Archives and Records Administration (NARA). NARA ensures ready access to the essential evidence that documents the rights of American citizens, the actions of Federal officials, and the national experience. Daily, the agency meets thousands of information needs, ensuring access to records on which the entitlements of citizens, the credibility of government, and the accuracy of history depend. The Library performs reference services, including making the records available to individuals for research and furnishing copies of documents from the records to requestors. 2.0 Scope of Work The George Bush Library requires maintenance on eleven copiers, as identified above. Service includes supplying toner, repair parts (except paper) and providing required maintenance and periodic preventative maintenance IAW manufacturers standards. Parts and labor required to support these maintenance are included as a part of this contract. The objective of these activities is to reduce downtime and keep the copiers stable, reliable and performing optimally. All supplies less paper shall be provided by the vendor. All activities are to be performed on-site at the George Bush Library. 3.0 Copier counts The agreement should include allowance of 375,000 black and white copies and 80,000 color copies total per year at no extra charge. 4.0 Period of Performance The period will be 12 months beginning November 2011 and if exercised, two one (1) year option years following the base period.. Award expect on or about November 2011. 5.0. Termination of Maintenance Agreement No Termination charges will apply to maintenance agreements terminated at any time, upon thirty-(30) days written notice to vendor. 6.0. Exclusion This Agreement does not include repairs made necessary by accident, abuse, misuse, neglect, theft, riot, vandalism, electrical power failure, fire, water, nuclear accident, or other casualty, or to repairs made necessary by service personnel other than Authorized Manufacturer’s Service. Vendor shall provide for preventative maintenance in accordance with manufactures specifications. 7.0 Type of Contract Performance will commence on the date of delivery order award or effective date of service which ever is later. Funding for the option periods will be subject to the availability of funds. The delivery order type is Fixed Price. 7.1 Extension of Contract The Government holds the right to extend this contract on a yearly basis through September 30, 2014. 7.2 Cancellation It is understood that this contract may be terminated for the convenience of and without cost to the Government at any time during the term of the contract, upon notification in writing to the contractor by the government representative thirty (30) days prior to the effective date of such termination. If the Vendor comes into possession of an electronic storage device that may contain PII, the Vendor will immediately notify the Contracting Officer and return the electronic storage device to NARA. Vendor will protect the confidentiality of the electronic storage device and will not access, disclose, release, disseminate, or publish any of the information on the electronic storage device.
