Description
This is a sources sought notice to determine the availability of commercial sources and services for conference room capabilities. This is for information and planning and does not constitute a request for quote/proposal and is not a commitment by the Government. Responses are due by November 21, 2011 by 3:30 PM Mountain Time. National Park Service Leadership Meeting Requirements The National Park Service's (NPS) leadership meets several times during the year in Washington D.C. This meeting, referred to as the National Leadership Council (NLC), and is composed of the Director, Deputy Directors, all seven Regional Directors and the Associate Directors as well as key staff positions and presenters. The count for these meetings is sixty (60) participants. The NLC previously met four times annually. The NLC will now meet twice a year in November and in May due to the increased size and configuration. The NLC meets from 08:00 am - 6:30 pm each day. The NPS requires the use of an Executive Board Room at the conference center capable of comfortably seating the 60 participants in a meeting room of at least 1500 square feet, a 12 foot ceiling height or higher, capable of comfortably setting the participants at tables seating five or six participants per table. The tables are to be scattered throughout the room. The NLC meeting is held from 8:00 a.m. to 6:30 p.m. daily, but can begin earlier and last later without a great deal of notice. The Requirements: The location of this conference center must be in downtown Washington, DC, within 3 miles of the Main Interior Building at 1849 C Street, NW. The space shall be no more than 4-5 blocks (or a to mile) from a METRO station. Parking shall be within the conference center building or within a one block radius of the conference center. Copying services shall be available in the conference center for a minimum charge; faxes shall be received for the NLC attendees at no cost. The conference center shall provide a screen, audio visual table, power cords for each table, surge protectors, and two flip charts as part of the meeting room rental. Video conferencing equipment (camera, monitor, podium, microphone and speaker) and connections (ISDN or IP) are requested to be available for use at the facility. The Government will be able to bring their laptops and LCD projectors at no cost. The Government will hook up to the conference center's outlets; its T-1 lines for internet access and/or the center's Wi-Fi system. The conference center shall have a secure space to lock up the Government equipment used during the meetings for overnight storage. The conference center shall provide light refreshments for approximately 60 people consisting of bagels, fruit, rolls, coffee, decaf, tea, sodas at a cost not to exceed $21.30 per person per day in accordance with Department of the Interior regulations which limits the amount of appropriated dollars spent on conference amenities. There is the possibility of evening sessions. The sessions will not be scheduled in advance and will only be requested if the discussions are not concluded during the day. Therefore, the meeting space must be held on a 24 hour hold for the NPS with no other group using the space. The conference center shall permit the use of outside caterers for working lunches and evening events, if required.
