- The following are responses to vendor questions: 1. Other than document archiving, publishing and search features, are there additional goals of the document portal? Answer: Merging existing file systems (sharepoint document log, external and internal sharepoint, P: drive) into one system; The office is responsible to archive certain materials that arrive via e-mail, such as votes and comments. Assistance with these is important; Version control for working documents will be highly important; Support for collaboration, including edit tracking, is desirable; We anticipate audio files will become a larger portion of our materials going forward. Media archiving and audio search are therefore desireable. 2. What is the current technical environment? (Microsoft, Oracle, etc.). Answer: Sharepoint 2010, Microsoft Windows XP, Microsoft Windows 2007, Microsoft Office 2007, Microsoft Office 2010, Apple Macintosh OSX Lion, Microsoft Office 2011 for Macintosh, and iOS 3. Will the documents be shared internally, externally or both? Answer: Three levels of sharing are needed: -Extensive internal access for our NSBOffice staff -Some special access (which may be either internal or external, depending on what makes sense in the context of a developing system) for our Board members, who are external to NSF. -Some materials must be available to the general public. 4. What is the approximate total number of documents and what types of documents are they? (word, pdf, media). Answer: We currently have 70-100,000 internal files total about 50 GB. File types include: MS Word, Excel, Powerpoint, Project, Adobe Acrobat, INDesign, Photoshop,.html. Nature of files include: wordprocessing documents, spreadsheets, photos, videos, audio, many are editable though others are fixed, some are reflowable 5. Besides documents, is there a need for embedded multi-media access or distribution (audio, video, etc.). Answer: Possibly. We have some presentations that include hot links; some webinars have embedded content; we anticipate that the need for many of our products to be 508 compliant will create additional challenges with regard to embedding, synching and complex distribution going forward. 6. Are long term retention policies related to document archiving? Answer: Some of our documents have to be permanently archived as official public records. These are not of huge volume but they are produced regularly. 7. Will the documents be stored locally or in a hosted environment? Answer: Most are local, but some portions are externally hosted. Also: over the period of development, the National Science Foundation may be moving toward more external hosting and cloud environments.
