Description
THIS NOTICE CONSTITUTES AMENDMENT NO. 1 TO THE COMBINED SYNOPSIS/RFQ FOR EVENT PLANNER NEEDED TO SUPPORT HUMAN RESEARCH PROGRAM CONFERENCE. Companies shall acknowledge all amendment(s) in their quote. This notice serves as the official amendment to subject synopsis/RFQ and a written amendment will not be issued. The purpose of this amendment is to post industry questions and answers and to extend the response date to October 30, 2012. Question 1. If we are able to provide a local event planner within the 50 mile radius stated in the RFQ, will a non local business be considered for the award? Answer 1. The event planner must be located within 50 miles of Johnson Space Center. Question 2. Will there be a need for onsite staffing for this event? Answer 2. The offeror will oversee all aspects of meeting coordination & logistics including, but not limited to, providing direct interface to organizing committee and venue, venue coordination,hotel transportation arrangements for guest presenters, meeting website design and maintenance, participant registration, abstract collection & publication, publication of programs, procurement & distribution of flash drives with program information, on-site meeting support, communication with meeting participants before, during, and after the workshop, completion of necessary government paperwork related to the meeting, and all other aspects of the workshop. Question 3. Will the contractor be required to submit invoices for reimbursement? Answer 3. Yes, when services have been rendered, the contractor will be able to submit an invoice for reimbursement. Question 4. Will there be a need for site/vendor selection or has this already been done? Answer 4. A hotel has already been selected, this location will be provided after award. Question 5. How many presenters? Answer 5. There are approximately 200 presenters. There are approximately 12 guest presenters that will present in the main ballroom and the balance will present in the breakout rooms. Question 6. How many conference attendees? Answer 6. There are approximately 500-600 conference attendees. Question 7. Is the hotel already arranged? If so, where? If not does the planner need to arrange this? How many rooms? Answer 7. See Answer #4. Refer to Paragraph 5 of the Statement of Work (SOW). Question 8. Is the venue already arranged? If so, where? If not, does the planner need to arrange this? Will food and beverage and a/v be needed? Answer 8. See Answer #4. Food, Beverage, and audio/visual are not needed. Question 9. Will the collection of registration fees be necessary? Answer 9. No, the contractor will not collect registration fees. Question 10. Will design time be needed? Answer 10. Yes, Refer back to 'Meeting Website' paragraph of the SOW. Question 11. Will the planner need to create the survey? Answer 11. No, the survey will be provided by NASA. Question 12. How many flash drives will be needed? Is it for all attendees or just presenters? Answer 12. An estimate of 500-600 flash drives are needed. Flash drives are needed for all attendees and presenters. Question 13. Under 'Description', in the fifth paragraph it states, ' The planner will oversee all aspects of meeting coordination & logistics including, but not limited to, providing direct interface to organizing commitee and venue, venue coordination,.....' In the event that additional services, such as audio visual equipment or additional meeting space are required of the venue, will our role as event planner be to coordinate requirements with the venue directly, or will there be a NASA PCO available with contractual authority to interface with the venue? Answer 13. The contractor will be responsible for coordinating requirements as they relate to additional services directly with the contracting officer. Companies shall provide the information stated in the synopsis/RFQ posted on the NASA Acquisition Internet Service (NAIS) on October 22, 2012. Documents related to this procurement are available over the Internet. These documents reside on a World Wide Web (WWW) server which may be accessed using a WWW browser application.
