- The VA will be holding a vendor fair to conduct market research in anticipation of a potential future solicitation for BCMA, COW, and Related Carts for VISN 21. Interested Vendors that can meet the attached specifications are encouraged to contact the VA (see below) to attend. In order to participate, vendor must provide at least one of each type of cart being requested by VA at the fair. The VA will not reimburse any vendor for their participation in this event. This notice is not a solicitation as defined in FAR 2.101 and will not result in a contract action. Vendors must show their intention to attend the vendor fair by contacting the below POC no later than April 19th, 2013, COB. Vendors failing to respond by this deadline will not be admitted to the fair. Please note, space is limited and vendors will be admitted on a first-come, first-serve basis. Location: VAPAHCS Menlo Park Division Core Building 334, Gymnasium 795 Willow Road Menlo Park, CA 94025 Fair schedule: May 06, 2013:First Date VAPAHCS will accept shipments from vendors related to this fair. May 13, 2013:Date that all equipment must be received by VAPAHCS. Equipment received later than this date will not be accepted. May 15, 2013:Product Setup from 3:00 pm to 7:30 pm May 16, 2013: Vendor Fair Day 1 from 7:00 am to 7:30 pm May 17, 2013: Vendor Fair Day 2 from 7:00 am to 6:00pm The VA will hold equipment no later than May 20, 2013. The fair will primarily consist of a walk-through format so that vendors may showcase their products to the V21 staff. The vendor shall also prepare for a break-out session to present their product to 12-15 people (time limit). ***Vendors are fully responsible for their own setup/breakdown. The VA will not provide any equipment for the fair. Vendors must provide their own equipment. However, outlets are generally available.*** Vendors may ship their equipment to be used in the fair to be received by the VAPAHCS warehouse no earlier than the date indicated above. All equipment received before this date will be refused. Vendors shall mark all shipments with "BCMA Vendor Fair." Prior to Vendor Setup, VA Biomed Personnel will test the equipment for electrical safety to ensure items that are safe for clinical staff to use/demo. Any equipment found to not be unsafe will not be allowed in the fair. Vendors must identify make and model and provide products to meet all specifications to participate in the fair. Vendors are advised that competing vendors may be present during their presentations. Last, interested potential offerors are encouraged to comment on the attached specifications, specifically on their commerciality.
