- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. SUBJECT: Acquisition Plan (Statement of work) Annual State Joint FRG Volunteer Leadership Training & Teen Symposium 1. Purpose. Identify hotel requirements for the Annual State Joint FRG Volunteer Leadership Training & Teen Symposium. 2. Date. 13-15 September 2013 - Teen Symposium 14-15 September 2013 - State Joint FRG Volunteer Leadership Training 3. Location. Somerset, New Brunswick, North Jersey area (5 mile Radius around Somerset) 4. Justification. Request a hotel/conference center be selected in Northern, NJ that provides a single location for FRG volunteers, teens and staff to attend Army mandated Annual FRG Statutory Leadership Training & Teen Symposium.. The Northern New Jersey area provides adequate facilities for this training as well as being centrally located for ease of attendance for volunteers/teens residing throughout the state and meets leadership's intent for the type and quality of locations required to conduct the Annual FRG Leadership training and Teen Symposium. 5. Lodging: a.13-15 September 40 Rooms (These 40 rooms need to provide double occupancy for weekend) b.14-15 September 60 Rooms (Total 100 rooms for Sat night to include above) (These 60 rooms will provide either one king or two queen sized beds per room) c. POC will provide selected hotel will a list of confirmed names two weeks prior to the event. We will not be charged for rooms if canceled 24 hours prior to arrival date. 6. Meeting space. Hotel will provide complimentary meeting space for each day of the event: a.Hotel will provide a general session room with classroom seating for 175 personnel (in conjunction with Teen Symposium). b. Hotel will provide 2 breakout rooms with classroom seating for 75 personnel each c. Hotel will provide a room for a command and control center. 7. Audio/Visual. The following A/V will be required in the general session room a. LCD projector b. Screen c. PA system with clip-on and handheld wireless microphones. 8. Audio/Visual. The following A/V will be required in one of the breakout rooms a. LCD projector b. Screen c. PA system handheld wireless microphones. d. TV with DVD 9. Meals. All meals to be in the Hotel/Conference Center a. 13-15 September 2013, 1)13 Sept: Evening Snack, 45 people 2)14 Sept: Breakfast, Lunch, Mid Afternoon Snack, Dinner, Evening Snack, 100 people 3)15 Sept: Breakfast, Mid Morning Snack, 100 people 9.
