- This ammendment is to provide answers to questions and remove the requirement for the hotel to be outside a 1 mile radius of a casino. Change From: must not be located within 1 mile of a casino Change To: there is no restriction on the distance from a casino. Questions and Answers: QUESTION: Will there be 4 different events in April - May or just one and the dates provided are alternate dates that can be used? ANSWER: There is only 1 event and those are available dates for the National Guard. We may include 28-30 Mar as a potential date as well. The National Guard is not available 11-13 Apr, 18-20 Apr, 9-11 May or 24-25 May. That makes the available dates for this one (1) event to be 4-6 Apr, 25-27 Apr, 2-4 May, 16-18 May and 28-30 May. If there are dates outside of the above, please send them directly to MAJ Travis for review and response. We do not want to go into March or June for this event as many of these attendees are required to attend this training during the proposed time frame. QUESTION: Are the numbers of participants listed in the statement of work, final numbers or do you anticipate a drop in numbers prior to the event? ANSWER: These numbers are estimated at this time and will be confirmed 30 days prior to the event. QUESTION: The SOW states that the contractor must be able to attend planning meetings for this event. Can you please tell me how many planning meetings you anticipate having for this event? ANSWER: We currently do not have any planning meetings scheduled but vendor will be required to attend if one is scheduled. Prior notification will be provided if the meeting is required. QUESTION: The Solicitation calls for a venue with three ballrooms set up for 850 attendees simultaneously, is this really what you are looking for, or do you need a total of three separate places that could hold 850 people? ANSWER: We in fact do need (1) ballroom for 850 for the whole weekend for awards set up, practice, and execution during the entire event. We also need another ballroom (2) for 850 for general sessions, guest speakers, large training sessions for post deployment audience, and opening and closing ceremonies. The final ballroom (3) can be smaller for 650 or we can combine general sessions and dining into the 2nd ballroom if they can keep the layout the same with no flipping of either ballrooms for the entire weekend. If we reduce to 2 ballrooms, they must remain the same layout. The response time has not changed and is still December 12th, 2013 by 10:00am CST.
