- 252.209-7999 REPRESENTATION BY CORPORATIONS REGARDING AN UNPAID DELINQUENT TAX LIABILITY OR A FELONY CONVICTION UNDER ANY FEDERAL LAW (DEVIATION 2012-O0004) (JAN 2012 (Please sign and return with quote) This is a combined synopsis/solicitation for a commercial service prepared in accordance with the format in FAR Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will NOT be issued. This is a Request For Quote (RFQ) and the solicitation number is J6RB01232014. This acquisition is UNRESTRICTED. The 6th Contracting Squadron, MacDill AFB, Florida, requires the following: The USCENTCOM CCJ6 has a conference rooms and function requirement within the Washington DC area, include a need for general session room that can accommodate 175 attendees. DESCRIPTION OF REQUIREMENT Project: Central Region Communications Conference (CRCC) 2014, 29 Apr - 1 May 2014 The Government is seeking hotels with a 3 to 5 Star rating within the Washington DC Area to include Baltimore, Northern Virginia, and Southern Maryland to hold the subject conferences and to befitting senior US and partner nation leaders. All required rooms should be collocated and requested to have limited access by non-attendees. Requirements include a need for general session room that can accommodate 150 attendees in a U shape configuration along with support staff around the perimeter and translation booths. Rooms need to be free of obstructions and limited views. The General Session room must be able to accommodate a rear projection A/V suite. The General Session room will require patching into house sound. Additionally, conference organizers require a conference foyer with limited access by non-attendees during pre-conference registration and conference sessions, a support room that is adjacent to the general session room, two break-out rooms, and a room specifically set for prayer for those of Islamic faith. The conference wants to hold a social the night of 29 Apr 2014 and prefers a room with a view that is not a traditional meeting room on the hotel property for approximately 100 attendees. Proposals shall be submitted in the following format CLIN 0001 Main General Session Conference room with 175 person capacity (3 days), in a U shape configuration with max 40 seating 29 Apr - 1 May 2014. Room must also be able to fit rear projection video. gallery seating on three sides and twice per day break service, including snacks and refreshments. QTY 3 Days CLIN 0002 Two (2) each breakout meeting rooms (2 days) 30 Apr - 1 May 2014 - must be next to or directly across from General Session Room. And to include Breaks, coffee and water during the conference QTY 2 Days CLIN 0003 Operations Room must be next to or across from General session room. QTY 6 Days CLIN 0004 Prayer Room QTY 3 Days CLIN 0005 Room to host a Social on the evening of 29 Apr 2014, for 100 people. QTY 1 Day CLIN 0006 OPTION: Video support with Projector, and Rear projector screen, Lectern with Mic, Wireless Lavaliere's, Mixer and any misc audio visual equipment required. NOTE: T1 Network Drop for 6 Days. QTY 3 Days CLIN 0007 Social Event Not to Exceed 100 guest (Hors d'oeuvre and Open Bar). Please provide menu. QTY 1 Lot (Funds, funds are not presently available for this CLIN and is subject to FAR clause 52.232-18 Availability) • Complimentary transportation to shopping within the DC/Northern Virginia Area • Complimentary transportation to the nearest international airport/Metro NOTE: Hotel must have the capability to block rooms for 100 guests (Peak nights are 29 Apr - 1 May 2014). Also Room Block should be for support staff - approx. 15 from 24 Apr 2014 to 1 May 2014 and then peak nights as described in the document. Individuals will be using their credit cards for payment The solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 2005-72 effective 1 January 2014, DFAR DPN 20131231 and AFFAR AFAC 2013 effective 27 Aug 2013. The North American Industry Classification System code (NAICS) is 721110 Hotels (except Casino Hotels) and Motels. The Standard Industrial Classification (SIC) is 7021. A firm fixed price contract will be awarded. All interested parties must bid on all items. BASIS FOR AWARD: Award will be made to the lowest price offeror that is determined to be technically acceptable. AFFARS 5352.201-9101, Ombudsman: (a) An ombudsman has been appointed to hear and facilitate the resolution of concerns from offerors, potential offerors, and others for this acquisition. When requested, the ombudsman will maintain strict confidentiality as to the source of the concern. The existence of the ombudsman does not affect the authority of the program manager, contracting officer, or source selection official. Further, the ombudsman does not participate in the evaluation of proposals, the source selection process, or the adjudication of protests or formal contract disputes.
