- Sample Visit Request Letter Notice of Pre-Solicitation Conference NOTICE OF PRE-SOLICITATION CONFERENCE (INDUSTRY DAY) (a) The Warner Robins Air Logistics Complex (WR-ALC) at Robins Air Force Base, Warner Robins, Georgia has a requirement for services to perform hazardous and non-hazardous equipment and equipment facility cleaning. Equipment to be cleaned includes paint facilities (booths and bays), plating and rinse tanks, degreasers, sanding booths, robotic equipment and room, metal band saw, trench drains, paint stripping booth, storm drains, floor recovery systems, vacuum systems, grit blast system, parts cleaner, air flow tunnels and vent plenum drain screens, stripping bay, water wash grinding booths and dust collectors (b) An Industry Day will held 21-22 May 2014 at Robins AFB GA, Museum of Aviation Flight and Technology Center, Eagle Conference Room (3rd Floor). Activities will include overview of requirement and a site visit of equipment and facilities. Visitors in attendance will be required to bring eye protection, ear plugs, and safety shoes (steel toes and non-slip) for use in the industrial areas as well as a Government issued photo ID for access to the installation. (c) Submit name of all attendees not to exceed two (2) per contractor to Mr. Ben Walker, AFSC/PZIOA, Robins AFB, GA, via email at benjamin.walker.9@us.af.mil not later than 3:00 EST 2 May 2014. The following information must be provided (on company letterhead) for each attendee in order to ensure adequate seating and access to the installation for the site visit for Industry Day participants. A sample Visit Request Letter is attached. (1) Alphabetized names of each attendee (Last, First, Middle) (2) Date of Birth for each attendee (3) Social Security Number ** This information is secured and will not be released to any persons other than those considered to have a ‘Need to Know’ for base security purposes (d) Offerors are requested to submit any questions pertaining to the site visit to tyler.adams.4@us.af.mil and benjamin.walker.9@us.af.mil not later than 3:00 PM (EST) 12 May 2014. If you experience technical difficulties accessing the Performance Work Statement you may email tyler.adams.4@us.af.mil and benjamin.walker.9@us.af.mil. (e) A record of the Industry Day shall be made and furnished to all attendees via the governmentwide point of entry (GPE) as an addendum to this notice. This record will include minutes of the meeting, including all questions and answers. This record will be posted no later than 10 business days after the close of the industry day. Please do not request a status prior to this time. (f) One-on-one meetings to answer questions or concerns about the acquisition will be scheduled after the site visit for anyone that is interested. One-on-one meetings must be requested with the submission of your companies list of attendees. Those that do not request a one-on-one meeting ahead of time are not guaranteed to get this opportunity. Meetings will be for no more than 10 minutes and will be scheduled on a first come, first serve basis. One-on-one meetings shall not be used for marketing or sales pitches. All questions, comments, and concerns relating to the acquisition will be sanitized to remove information sensitive to one company and will be posted with the record of events to the GPE. (g) Emails may be encrypted by first sending a digitally signed email to benjamin.walker.9@us.af.mil and request a digitally signed email returned. Once digital certificates are exchanged, encrypted emails may be sent. Please consult the list of document viewers if you cannot open a file.
