- VISN 16 RFI - PRE-SOW FBO POSTING All vendors are required to review the entire attached Pre Sow Draft/RFI open 4/30/2014 closing 5/15/2014 calendar days. Vendor will have three days only after the closing date of the Pre Sow Draft to schedule for the Pre-Solicitation Oral Virtual Vendor Demo Conference 5/16/2014-5/18/2014. Presentation will open on 5/20/2014 and conclude on 5/29/2014. Available date 5/20/2014, 5/21/2014, 5/22/2014, 5/23/2014 5/27/2014, 5/28/2014, 5/29/2014 1.Vendors are invited to provide an oral to provide an oral virtual vendors' demo presentation, during a two hour (90 minute for presentation and 30 minutes for questions) virtual meeting scheduled per above paragraph. Vendors are responsible for acquiring the software need to participate in the virtual demonstration and provide a web access link to the Government. The Government will provide a conference call number and code for telephonic communications during the presentation. Vendors should plan for up to 70 virtual attendees' no confidential form required. Marketing research no cost or pricing needed from vendors and no offers received from vendors at this time. The presentation will not be scheduled in any particular order. The Government will try to accommodate Vendors' scheduling requests. If a Vendor request a change after the schedule has been determined rescheduling will be at the discretion of the Government. The length of the presentation shall not exceed 90 minutes in length with an additional 30 minutes allowed for questions from Government attendees. The Governments' intent is to ask general questions of the vendors. However, vendors may ask ad hoc general question address to the Government. Governments' response will be in writing back to the Vendor. These written formal question and answers will be the official communications between Government and vendors'. Key personnel involved in contract performance should be included at the presentation (as opposed to solely marketing staff). The names and position titles of all presenters shall be provided to the Government no less than one (1) business day prior to the scheduled date and time of a Vendor's virtual oral presentation. Presentations should broadly address the areas and topics contained in the Pre-Statement of Work Draft/RFI and Functional Requirements Worksheet and highlight other relevant key features of the vendor, system. This contract is a Requirement with One base and 4 option years. The government reserves' the right to exercise any or all option years. Excel spread sheet is attached for vendor to schedule their presentation, on a first come basis. Two (2) vendors will be schedule per day for the Oral Virtual Vendors' Demo Presentation. Schedule Tuesday, Wednesday, Thursday Friday First week, Second week Tuesday, Wednesday, Thursday Central Standard Time 8:00am to 10:00am, 10:00am to 12:00am or Noon 1:00pm - 3:00pm (CST). 2.Vendors will be given an opportunity to ask questions to IPT submitted through the Share Drive vendor portal to Contracting Officer before final issuance final SOW/RFQ Solicitation 6/2/2014. 3.Final RFQ Solicitation and SOW posting opens for 30 calendar days 6/2/2014 closing date 7/2/2014 all RFQ Solicitation will be due on or before 7/2/2014. No offers will be accepted after 7/2/2014 3:00pm CST. 4.Vendors will be invited to participate in an on-site Oral Presentation/Vendors' Product Presentation opening date 7/7/2014, during a two-hour (90 minutes for presentation and 30 minutes for questions). Vendors should plan for up to 10 Government attendees from varies locations within VISN 16. Vendor presentation will not be scheduled in any particular order. The Government will try to accommodate Vendors' scheduling request. If a Vendor requests a change after the schedule has been determined rescheduling will be at the discretion of the Government. The length of the Oral presentation shall not exceed 90 minutes in length with an additional 30 minutes allowed for questions form Government/Vendors' in attendees. Any questions that vendors have regarding RFQ/Solicitation must be addressed in writing submitted through the Share Drive vendor portal to Contracting Officer. Government responses will be in writing back to the vendors, amendments if necessary. These written formal questions and answers will be the official communications between Government and vendors'. Key personnel involved in contract performance should be included at the presentation (as opposed to solely marketing staff). The names and position titles of all presenters shall be provide to the Government no less than one (1) business day prior to the scheduled date and time of a Vendor's oral product demo presentation. (Equipment setup and breakdown time 30 minutes between each vendor's presentation) Excel spreadsheet will be attached for vendors' scheduling for oral orientation vendors' product presentation conference, on a first come basis. Two (2) vendors will be schedule per day for Oral presentation. Starting on Monday 7/7/2014 CST 8:00 am - 10:00 am 10:00 am - 12:00 am or Noon 1:00 pm - 3:00 pm (CST) Oral product demo presentation to conclude on Friday 7/11/2014. IPT will finalize the meeting on Friday. NOTE: Department of Veterans Affairs VISN 16 requires that all vendors be on CONTRACT on, or before the closing date of the solicitation RFQ posting date 6/2/2014/Closing date 7/2/2014.
