- Synopsis: This is a request for quotes. The Department of Veterans Affairs, James J. Peters VA Medical Center is currently seeking service/maintenance vendor for the RTAS (Rapid Telephone Access Services) digital dictation and medical reporting system used to receive medical information. STATEMENT OF WORK RTAS DICTATION/TRANSCRIPTION A.GENERAL INFORMATION 1.Sudbury Systems, Inc. is the service/maintenance vendor for the RTAS (Rapid Telephone Access Services) digital dictation and medical reporting system used to receive medical information. This information is transcribed into VISTA. The RTAS system is not connected to VISTA, but is a stand-alone system. This equipment was purchased in 2006. 2.Scope of Work: A service contract with Sudbury Systems, Inc. is needed for monthly maintenance equipment including phone, hardware, and software support for the dictation/transcription system used at the James J. Peters VA Medical Center. The RTAS dictation server is located in room 2B-30. The two transcription stations are located in 2B-29. 3.Background: RTAS equipment was purchased by the medical center and a contract is needed to support equipment and software maintenance and repairs. The equipment and software are used for medical dictation, transcription, and medical reporting. Dictated reports and medical information can be transcribed into VISTA, retrieved, reviewed, and signed. 4.Performance Period: A service contract is required to address monthly equipment and software maintenance beginning 10/1/14 Plus 4 option years 5. Type of Contract: Firm Fixed Price STATEMENT OF WORK The RTAS transcription system equipment was purchased in 2006. RTAS system receives dictated patient information and various reports which are transcribed and entered into VISTA. Equipment maintenance and software support is needed to keep the system running. RTAS equipment to be serviced and maintained includes all RTAS PULSE DIGITAL DICTATION SYSTEM equipment and its components, including but not limited to all servers, workstations, peripherals. Equipment was purchased and includes: 1. BX VAMC ID# 31970, Manufacturer: Dictaphone,Device:Cassette Transcription Dictaphone Model: DTP-2742, Serial # 595132 Acquisition Date 7/14/2006, Location: 2B-29. 3. BX VAMC ID# 32528 Manufacturer: Dictaphone, Device: Cassette Transcription Dictaphone Model: DTP-2742, Serial # 395871 Acquisition Date 11/9/2006, Location: 2B-29. 4. BXVAMC ID# 3448 Manufacturer: Dictaphone, Device: Dictaphone Std Cassette Desktop Voice Processor, Model:2750, Serial# 2750-555022 with Dictaphone foot pedal. Acquisition Date 1/30/2001, Location: Room 2B29-100. 5. BX VAMC ID# 9624 Manufacturer: Sudbury Systems, Device:TranscriptionStation, Model: 460025, serial # 30879 with RTAS Triple function foot pedal Acquisition Date:8/25/1993, Location: 2B29-100. 6. BX VAMC ID# 16880 Manufacturer: Sudbury Systems, Device:Transcription Station, Model: 460025TSUSFxP, serial # 50589 Acquisition Date: Feb. 1996, Location: 2B29-100. The RTAS Dictation System is used 8 hours each day from 8AM-4:30 PM, five (5) days a week, fifty-two (52) weeks a year, excluding all holidays. Equipment and software maintenance and support is needed to ensure that both equipment and software are always in working order and available for dictation and transcription at the times indicated above. A rapid response time is needed when the system or equipment is not functioning The RTAS equipment includes: 1. One RTAS dictation machine/server (cube) located in 2B-30. 2.Two transcription stations located in room 2B-29. Each transcription station includes the following equipment: 1.Two IRM workstations which interfaces into the RTAS Universal Transcribe station base units. 2.Two foot pedals 3.Two Dictaphone 2750 Voice Processors. 4.Headphones A complete service contract is needed to provide on-site labor, equipment, and materials required for system repairs, and technical support for software updates. The service must be available Monday through Friday from 8:00AM to 5:00PM. The North American Industry Classification Systems (NAICS) is 54990.
