Description
This is a combined synopsis/solicitation for a commercial service prepared in accordance with the format in FAR Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will NOT be issued. This is a Request For Quote (RFQ) and the solicitation number is J6RB11132014. This acquisition is unrestricted. The 6th Contracting Squadron, MacDill AFB, Florida, requires the following: The USCENTCOM CCJ6 has a conference room(s) and function requirement within the Washington DC area that preferably has free shuttle service to an International Airport; include a need for general session room that can accommodate 150 attendees. All rooms need to be free of obstructions and limited views. DESCRIPTION OF REQUIREMENT Project: Central Region Communications Conference (CRCC) 12 - 14 May 2015 The Government is seeking hotels with a 3 to 5 Star rating within the Washington DC Area to include Baltimore, Northern Virginia, and Southern Maryland to hold the subject conferences and to befitting senior US and partner nation leaders. All required meeting rooms should be collocated and requested to have limited access by non-attendees. Requirements include a need for general session room that can accommodate 150 attendees. All rooms need to be free of obstructions and limited views. The General Session room must be able to accommodate a U Shape configuration for up to 40, mix of classroom and theater seating around the perimeter and room for a translation booth as well as a rear projection A/V suite. The General Session room will require patching into house sound. Additionally, conference organizers require a conference foyer with limited access by non-attendees during pre-conference registration and conference sessions, a support room that is adjacent (within 25 to 75 feet walking distance) to the general session room, two break-out rooms, one of which is a room for meals preferably on the same floor as the General Session room, and a room specifically set for prayer for those of Islamic faith also preferably on the same floor as the General Session Room. The conference wants to hold a social the night of 12 May 2015 and prefers a room with a view that is not a traditional meeting room on the hotel property for approximately 100 attendees. Proposals shall be submitted in the following format CLIN 0001 One (1) each Main General Session Conference room with 150 person capacity, in a U shape configuration with max 40 seating 12 - 14 May 2015. Room must also be able to fit rear projection video gallery; seating on three sides as well as room for a translation booth and twice per day break service, (Breaks to be provided outside GS Room). Note 12 May is set up day for rehearsal and no breaks nor set on that day. Foyer in front of General Session Room should be large enough to have the morning and afternoon breaks. Breaks will not be inside the General Session Room and must be within 50 feet of the General Session Room. QTY 3 Days CLIN 0002 One (1) each Operations Room must be next to or across from General session room. One (1) each QTY 6 Days CLIN 0003 Two (2) each Breakout meeting rooms (2 days) 12-14 May 2015 - must be next to or directly across from General Session Room. Hold 20 - 30 attendees. And to include Breaks, coffee and water during the conference. QTY 2 Days CLIN 0004 One (1) each Meal Room must hold 150 attendees. QTY 2 Days CLIN 0005 One (1) each Prayer Room 12-14 May 2015, prefer on the same floor as General Session Room. QTY 3 Days CLIN 0006 One (1) each Room to host a Social on the evening of 12 May 2015, for 100 people not traditional meeting room; Heavy Hors d'oeuvre, Open bar, Lunch for 2 days. (Please provide menu). QTY 1 Day CLIN 0007 Audio/Visual Requirements Projector - 3 days Rear Projection Screen - 3 days T1 Network Drop - 6 days Lectern with Microphone - 3 days Wireless Lavaliere's - 3 days Mixer and any misc. audio visual equipment required CLIN 0008 Two (2) Days Buffet Style Lunch for 150 guest, please provide menu. One (1) Day Social Event on the evening of 12 May 2015, for 100 people that includes (Hors d'oeuvre and Open Bar), for 100 guest. Please provide menu. NOTE: Funds are not available for this CLIN 0008 ONLY. Per FAR 52.232-18 Availability of Funds: Funds are not presently available for this contract. The Government's obligation under this contract is contingent upon the availability of appropriated funds from which payment for contract purposes can be made. No legal liability on the part of the Government for any payment may arise until funds are made available to the Contracting Officer for this contract and until the Contractor receives notice of such availability, to be confirmed in writing by the Contracting Officer. NOTE: Hotel must have the capability to block sleeping rooms for up to 100 guests (Peak nights are 12 May - 13 May 2015). There is no guarantee that all sleeping rooms blocked will be used; therefore, pricing for CLINs 0001 - 0006 should not be contingent on this 100 sleeping room block/occupancy. Also Room Block should be for approx. 15 support staff from 10 May 2015 to 15 May 2015 and then peak nights as described in the document. •- Individuals will be using their personal credit cards for payment •- The room pattern for the staff will be provided once hotel is chosen Preferred complimentary transportation to shopping within the DC/Northern Virginia Area Preferred complimentary shuttle transportation to the nearest international airport The solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 2005-77 effective 14 Oct 2014, DFARS DPN 20141014 effective 15 Oct 2014 and AFFARS AFAC 2014 effective 1 Oct 2014.
