Description

STATEMENT OF WORK (SOW) Scope The James A. Haley VA Medical Center (JAHVAMC), Tampa, FL has identified a requirement for Meeting/Conference Room Scheduling Software Subscription. This commercially provided software requirement is for an annual subscription that will be a browser based-cloud delivery model, Software as a Service (SaaS), Meeting/Conference Room Scheduling Software that shall use secure Microsoft Office Outlook calendar scheduling integration for all employees for a seamless centralized solution for reserving meeting/conference rooms throughout JAHVAMC. Meeting/Conference Room Scheduling Software Subscription shall have the ability to manage all conference rooms at JAHVAMC, allowing all users to view meeting/conference room availability, book meeting/conference rooms, invite attendees, and attach items using Microsoft Office Outlook. The cloud based scheduling software subscription shall be installed onto the VA network, but managed by the vendor. This subscription shall offer all inclusive pricing for a minimum of 40 meeting rooms, for a minimum of 100 concurrent users, and for an unlimited number of users with access only. This software shall be approved under the One-VA Technical Reference Model (TRM) program Per VA HB 6500 Additionally, the new system shall be able to import the remaining data from approximately 55000 previously scheduled meetings from the existing JAHVAMC Asure MRM version 7 into the new SaaS Cloud. Vendor shall grant an all-inclusive subscription and/or license for JAHVAMC and its Users to use the Product during the Term of the contract. Vendor shall perform any and all maintenance and support services required for the term of this agreement. For the entirety of this subscription the cloud based version of this software being offered by the vendor will always be the most up-to-date version currently available on the market by the vendor. The following activities will be performed: Training: Vendor will attend an award kickoff/initial planning meeting and will also conduct a one-day onsite visit to train all relevant personnel on using the Service. Maintenance Services: Vendor will provide any as needed day-to-day support (via email and phone), software maintenance, and continual access to the software (new features, content, enhancements, and other updates to the software). Delivery Vendor will provide access to this browser-based cloud model within 14 days of contract award. Performance Period: Base contract of one year with four pre-priced one year option periods. Work at the Government site shall not take place on Weekends or Federal holidays unless directed by the CO. All work shall be performed during normal business hours between Monday through Friday 8:30 AM to 4:00 PM. Changes to Statement of Work: Any changes to this SOW shall be authorized and approved only through written correspondence from the CO. A copy of each change will be kept in a project folder along with all other products of the project. Costs incurred by the contractor through the actions of parties other than the CO shall be borne by the contractor.
