Description
This is not a bid. This is just a sources sought. Background- In 1996, INI and Avaya (then AT&T) implemented an Interactive Voice Recognition (IVR) solution for routing and providing information to West Point candidates. The solution was upgraded to the Conversant version 8 system in 2003 and then again upgraded in June 2008. To continue using this system, we require continued hardware and software maintenance support. Description of Requirements. 4.1 Hardware & Software Requirements: oCenturion, Inc. ML370-G5 Tower with 16 Analog Ports (4 ports RTU licenses) and dedicated to USMA script consisting of: oWindows 2003 Software, 1 GB RAM, (2) 72 GB Hard Drive, (2) oRedundant Power Supplies 36/72 GB DAT Tape Drive oColor Monitor o100/1000 MB Network Interface Card o DMV160LPW 16 Port Analog Board o19200 Baud External Maintenance Modem oIVR Application Software oCadet applicant self-service support system 4.2General caller interface requirements: A.The application supports inbound calling functions. B.Callers use the keypad of their touch-tone telephone to interact with the application. C.The application provides English only support. The application uses pre-recorded phrase package available on the IVR system which contains simple words and phrases produced by vendor for use with the system. This package includes digits, numbers, days of the week, and months, each spoken with initial, medial, and falling inflection. The speech is in digitized files stored on the hard drive to be used in voice prompts and messages to the caller. The vendor provides recordings for all of the menu prompts and phrases for the application; however, Admissions may re-record key menu prompts and phrases to its exact requirement during the year. Telephone administration facilities will be provided by the vendor to facilitate this process. We are open to the idea of modernization plan to improve on the existing HPU and Dialogic software programs to make it simpler to update the system when required. D.Menus. There are several quote mark sub-menus quote mark that allow a person dialing in to get to various teams within Admissions based on their needs. A key component of this is the ability for a person to enter a zip code in order to be directed to the appropriate regional team. The zip codes are stored in a database that the HPU uses to determine which phone number to forward to. The current phone system can be dialed at 845-938-8127, 845-938-4041 or toll free at 1-800-822-2769. 4.3Host Interface Requirements: Data is stored locally on the IVR system. 4.4Telephone Administration: There is phrase administration utility that can allow a voice talent to call and re-record application phrases, if desired. 4.5Reporting Requirements: The vendor will maintain the 5 custom reports provided with the current system. 4.6Professional services associated with the implementation should include: Application configuration changes Software maintenance and upgrades Hardware maintenance. Dial-in (via modem) for remote maintenance within 24 hours of a problem being reported. On-site maintenance when problems cannot be resolved remotely. Admissions IT personnel are available on-site for minor assistance needed, such as powering on/off, logging in, etc. Documentation (may not be required for all projects) 4.7Warranty / Support: The IVR must meet the above hardware and software customer support needs. The current Hardware is approximately 6 years old.
