Description
Detailed SOW for WY ANG January Strong Bonds event. Short MEMO describing the WY ANG January Strong Bonds Event The Wyoming Air National Guard (WYANG) will conduct a Strong Bonds (SB) Training Event Saturday, January 30th, 2016. The SB Coordinator is seeking a FEMA registered facility to provide conference space and dining accommodations to include catering for 50 military members. The designated government representative holding this event is not authorized to change the terms and conditions of the resulting contract. Contractor shall provide the following as outlined below: A. Conference Room Meeting Space: 1. General Session Conference Space is required to accommodate approximately 50 attendees. The conference space will feature tables and chairs to sit all attendees comfortably. Tables, can be round, square or rectangular in shape. The conference room should have a speaker's podium. The conference area must have wireless internet capabilities. The conference room should allow attendees to use the A/V sound system, connections and power outlets. If an A/V system is unavailable, the attendees must be allowed to use their own A/V equipment. The attendees will bring and utilize their own projector system. The conference room must have a projector screen and projector stand or table available. The General Session Conference Room Space must be securable so attendees may leave equipment and items in the space without risk of theft. The General Session Conference Room Space must be made available during the following dates and times: a. Saturday, January 30th, 7:00 am to 5:00 pm 2. Event Registration Space is required in the hallway outside of the General Session Conference Space or in an area within close proximity of the conference space. Two draped and dressed rectangular tables are required for registration. Two chairs should be provided at each table. Standard wall outlets and wireless internet must be accessible for use. Event registration space must be made available during the following dates and times: a. Saturday, January 30th, 7:00 am to 5:00 pm 3. Miscellaneous space requirement includes one private guest room or similar sized space for Chaplain to share and conduct one-on-one sessions. No beds are authorized in the room provided. The room may be a converted guest room, office space, lounge area or any other type of hotel space that allows for privacy. The space must be available for the following date and time: a. Saturday, January 30th, 7:00 am to 5:00 pm B. Meals: 1. Contractor shall provide two meals to accommodate approximately 50 people at each meal. Menus are negotiable (NO hotdogs) and must remain at or under the per diem cost allotted for meals in the city/county where the contract is awarded. For Cheyenne, WY the GSA per diem rates are *$11.00 per person for breakfast and *$12.00 for lunch. Meals may be procured using any variation of cost agreed upon so long as the total is no more than maximum allowable adult rate for the two meals combined. The rate is inclusive of any service fees the Contractor chooses to charge. Service fees are not authorized above and beyond the total per diem rate authorized per adult. a. Breakfast meal served at 8:00 am Saturday, January 30th, 2016 b. Lunch meal served at 12:00 pm Saturday, January 30th, 2016 2. The government shall provide the contractor with a final count of personnel to be served meals one week prior to the event date Friday, January 22nd, 2016. The government will not be responsible for any meal cost above those calculated based on the final counts provided. 3. The meal rate for this event will not exceed the daily Government Daily Per Diem Rate for the Region where the contract is awarded. 4. Breakfast meals must contain at minimum, but are not limited to: one breakfast meat, eggs, whole grains, fruit, coffee, tea & water and applicable condiments. 5. Lunch meals must contain at minimum but are not limited to: two meat/protein options, two whole grain options, two vegetable options, one dessert option, tea & water and applicable condiments. 6. Meals may be served in a manner and location of the hotel's choosing. Buffet style or plated meals are acceptable. C. Conference Room Refreshments: 1. The following two refreshments/breaks (menu negotiable) to accommodate approximately 50 people are requested: a. Coffee/Hot Tea/Water/Iced Tea service Saturday, January 30th, 2016 9:00 am until supply is exhausted. The refreshments must be made available in or near the main conference room area. b. Afternoon snack break service Saturday, January 30th, 2015 2:00 pm until supply is exhausted. The refreshments must be made available in or near the main conference room area. 2. The government shall provide contractor with a final count of personnel to be served coffee and refreshment services one week prior to the event date (Friday, January 22nd, 2016). 3. All refreshments will be left out and available to attendees until the refreshments have been consumed or the government point of contact agrees to discontinue refreshment service. Prepackaged, canned, bottled, and or non-perishable leftovers MUST be provided to the government point of contact on site. D. Audiovisual Equipment potentially required: 1. Podium, microphone(s), projector screen, AV/cart/table, A/V connections to house sound (if built in), and internet service. Costs quoted will determine the government's decision to rent equipment or provide its own. The government will be utilizing its own projector system, DVD player and speakers. 2. Should the Government provide its own equipment, the Government requests AV Freedom and will be permitted to connect its equipment to the contractor's electrical outlets, house sound and AV connections within the facility for the duration of the event with no additional cost to the Government for use of contractor's electrical power service. E. Other: 1. Contractor shall provide or agrees to the following miscellaneous items for duration of conference: a. Directional signage as follows: navigation to registration and general meeting space. All signs, placards, door cards and so forth that identify our group should be labeled "ANG STRONG BONDS."
