Description
This is a sources sought notice for market research purposes only to determine the availability of potential small businesses with capabilities to provide the services described below. Responses will be used to determine the appropriate acquisition strategy for a potential future acquisition. This is a Sources Sought Notice only. The information gathered from this request is for information and planning purposes only and will not be released. This does not constitute a solicitation. No solicitation is currently published, pending, or available. If a solicitation is issued, it will be issued at a later date. Responses to this RFI are not offers and cannot be accepted by the Government to form a binding contract. Vendor participation in this response or any informational session is not a promise of future business with the VA. The Government is not obligated, nor shall it pay for any information received from potential sources as a result of this Sources Sought Notice. Interested companies should submit an electronic statement outlining their company's capability and capacity to provide the services herein. The intended contract period is a one-year base period plus (4) four one-year option periods. Potential contractors shall provide, at a minimum, the following: 1) Company name, address, point of contact, phone number, e-mail address, and DUNS. 2) Is your firm eligible for participation in one of the following small business programs? The capabilities statement for this sources sought is not expected to be a Request for Quotation, Request for Proposal or Invitation for Bid, nor does it restrict the Government to an ultimate acquisition approach, but rather the Government is requesting a short statement regarding the company's ability to provide the services outlined in the draft SOW below. Any commercial brochures or currently existing marketing material may also be submitted with the capabilities statement. This synopsis is for information and planning purposes only and is not to be construed as a commitment by the Government. The Government will not pay for information solicited. Respondents will not be notified of the results of the evaluation. Statement of Work Provide semi-annual full service preventative maintenance on Aladdin Cook/Chill System (Traulsen unit) located in Audie Murphy VA Hospital, 7400 Merton Minter Blvd, San Antonio, TX 78028, Nutrition and Food Service Department. This contract period will be February 1, 2016 to January 31, 2017 with four (4) one year option years. This preventative maintenance contract shall not have automatic renewal. The contractor shall provide all parts and materials, labor, and travel related expenses for semi-annual preventive maintenance on government owned Aladdin Cook/Chill System (Traulsen unit). Contractor will provide the services of a fully trained technician(s) for the purpose of performing complete, detailed maintenance, calibration and service to all Temp-Rite II rethermalization equipment. Equipment will be inspected for all visual and apparent problems, tested in totality and/or calibrated in accordance with Aladdin recommended frequency schedules. The preventative maintenance services shall be performed on a semi-annual basis with as many days as needed on each scheduled period to provide complete service. All service will be performed during the hours of 8:00 a.m. to 4:30 p.m., Monday thru Friday, except federal holidays. Contractor shall schedule semi-annual visit with the listed Contracting Officer's Representative (COR) prior to site work. Technician shall check-in at the Maintenance and Operations (M&O) office, room L001 prior to performing work. Contractor shall inspect all components of the Cook/Chill system to include the blast chillers, retherm boxes and all wheeled carts of this system. Carts will be inspected for proper tightness of all electrical connections, including pods utilized for reheating, wheels will be cleaned of debris and lubricated as needed, tightness of push/pull handles, condition of door gaskets and overall conditions of carts. The blast chillers shall be checked for proper operation and overall condition of unit(s). Retherm boxes will be checked for overall operation. Docking stations for the retherm carts will be inspected, cleaned and adjusted as needed. Minor repairs covered under this contract shall be made as needed. Contractor shall warrant that all services and repair work performed under this service contract shall be free from defects in workmanship and that all factory manufactured equipment supplied there under shall, at the time of installation, be free from defects in material and workmanship. Upon completion of semi-annual maintenance contractor will provide detailed report of preventative maintenance performed, for each piece of equipment, as well as list of needed/recommended repairs and/or parts not covered by the preventative maintenance.
