Description
Edith Nourse Rogers Memorial Veterans Hospital Executive Support Assistant to the Director Statement of Work Purpose To provide temporary full time executive support assistant to the Hospital CEO/Director of Bedford VA Medical Center in the interim until the recruitment effort in filling this position on a permanent basis is accomplished. Description of Services The executive support assistant will provide the following duties to the CEO/Director and other C Suite Officials: "Education/Experience: Preferred Bachelor's Degree in a related area; 8-10 years-administrative office experience; with 3-5 years professional experience working at the Hospital Executive Leadership/CEO level. "Management and coordination of Executive's Calendar (Highly complex schedule). "Time management of Executive's time and agenda "Triages, screens, and directs incoming Executive's calls with respect to the Executive's agenda "Executes a high level of problem solving skills when working with the Executive's schedule. "Works within a very high level of autonomy and must possess a high level of sound judgement. "Conducts research, prepares statistics, gathers information and data, receives visitors, and compiles reports for the Executive's use. "High level of IT literacy; technical skills include Microsoft Office Software, spreadsheets, PowerPoint presentations. "Excellent customer service and communication skills. Period of Contract This contract period will be approximately 4 months with two options each lasting 4 months, therefore the Contract may be for 12 months; eight hours per day, forty (40) hours per week excluding Federal Holidays. It is anticipated that work will start in April 2016 and continue through August 2016. There may be two 4 Month options periods for this contract. Work Days/Hours/Holidays The established tour of duty for this position is from 7:00 a.m. to 3:30 p.m., Monday through Friday; however, the Contractor's staff may be required to furnish services on national holidays or during non-working hours, depending on the Hospital Executive's needs. Special Requirements The contractor shall be responsible and able to show evidence of reliability, ability and experience. VA may request verified references of ability and qualifications. The Contractor shall inform VA when the Contractor's staff is absent from work at VA. The Contractor will provide alternate staff services for basic level of support in the event the Contractor's staff is absent from work at VA. The Contractor's personnel shall agree to comply with the Privacy Act of 1974 (the Act) rules and regulations issued under the Act during and after the execution of this contract. Any information about an individual that is maintained by the VA, including, but not limited to, education, financial transactions, medical history, and criminal or employment history or any record that contains the person's name, or the identifying number, symbol, or other identifiers assigned to the individual shall be kept CONFIDENTIAL. Contract Administration VA may review and evaluate the quality of administrative services to determine contract compliance and quality of service. A record keeping system of contractor's hours worked shall be established and maintained at the Office of the Director, Edith Nourse Rogers Memorial Veterans Hospital, 200 Springs Road, Bedford, MA 01730. VA shall review invoices online to ensure that the Contractor rendered the services for which the Contractor requests payment. VA shall pay proper invoices monthly in arrears for services rendered during the previous month. No advanced payments will be authorized.
