- This is a Request for Information (RFI) in accordance with the Federal Acquisition Regulation (FAR) 15.201(c) (7) for the purpose of developing an acquisition strategy and obtaining industry input relevant to a possible future solicitation for: Conference room facility with conference required rooms, services, and utilities. The facility shall be able to accommodate minimum 600 participants at one time. The industry is also invited to provide comments on the content of this announcement to include suggestions for improving the scope of a possible future solicitation. Your input is valuable in helping us develop requirements that ensures mission success, reduces our costs, and simplifies the contractor's ability to provide various types of construction services. This is not a Request for Proposal (RFP) or a Request for Quote (RFQ). A RFP/RFQ is not being issued at this time. Any responses to this RFI will be treated as information only and shall not be used as a proposal. Government will not reimburse respondents for costs associated with providing information in accordance with this RFI. RESPONSES DUE Responses to this RFI are due no later than 12:00 p.m. Eastern Standard Time (EST) on April 28, 2016. All submissions shall be submitted via e-mail to Joonpil Hwang at Hwangj2@state.gov as a PDF document. MINIMUM REQUIREMENTS Please see the attachments (2016 AGOA SOW and AGOA Nenue Accommodation) for detail requirements information. RESPONSE SUBMISSION INFORMATION All potential sources with the capability to provide the requirements referenced in this RFI are invited to submit, in writing, sufficient information within the page limitations listed below. This information should demonstrate the respondent's ability to fulfill the technical, delivery, and support requirements and be responsive to the technical questions in this RFI as indicated below. No pricing should be included in your response. Responses to this RFI shall include the following: 1. A Cover Sheet Which Includes: a. Company Name b. Address c. Point of Contact d. E-mail Address e. Phone Number f. DUNS Number g. Primary Business and Market Areas h Business Size and Socioeconomic Status (if applicable) 2. Capabilities of Successfully Completing the Requirements Stated in the SOW: (three (3) pages limit) a. Capabilities to accommodate the attendance of minimum 600 persons. b. Capabilities to provide facilities with rooms, services and utilities to hold the required forum schedule events. c. Capabilities to provide Audio, visual, IT and other required utilizes during the period of performance d. Capabilities providing catering services to all participants during the period of performance 3. Locations: (one (1) page limit) a. Name of the closest city from the four possible locations (Washington, DC; Atlanta, GA; Philadelphia, PA; and Seattle, WA b. Located within 25 miles driving distance to a major airport c. Located within 25 miles driving distance to a major city downtown 4. Relevant Forum/Conference Experience (two (2) pages limit) a. Experience handling forums and/or conference which held more than 600 participants. b. Experience providing high level on-site security and/or coordinate with DOS/DS (Department of State's Bureau of Diplomatic Security) and/or local law enforcement 5. Questions and/or Recommendations (One (1) Page limit) SITE VISIT The Government anticipates conducting site visits to evaluate potential venues. The location dates and times will be forthcoming as appropriate. ROOMS Any lodging including sleeping rooms or guest rooms are not required under this requirement. it is solely for the conference room(s), caterings and other required services stated in the SOW.
