- THIS IS A REQUEST FOR INFORMATION (RFI) ONLY A solicitation is not available at this time. The Department of Commerce (DOC), National Oceanic and Atmospheric Administration (NOAA), Acquisition and Grants Office is seeking information from venues/hotels in the Washington DC and its surrounding area, in order to determine availability of conference space. This Request for Information (RFI) is for planning purposes only. No solicitation document exists at this time. Issuance of this notice does not constitute any obligation on the part of the Government to procure these items or services to issue a solicitation. In addition, the Government is under no obligation to pay for information submitted in response to this RFI, and responses to this notice cannot be accepted as offers. Any information marked proprietary will be handled accordingly. Capability statements are being requested only from venues/hotels in Washington DC and its surrounding area. Capability Statements Capability statements shall clearly demonstrate capability in all the following areas: 1.The vendor must demonstrate the capability to host an international conference with a maximum attendance of 500 people. 2.The vendor must demonstrate the capability/availability to host a conference for four consecutive days (preferably Monday through Thursday) in October or November 2017. 3.The vendor must indicate the capability/availability to reserve hotel rooms for a maximum of 500 people during the time frame specified. (only applies to hotels submitting capability statements) 4.The vendor must demonstrate the capability to provide catered services or allow outside catering. 5.The vendor must have relevant past performance/experience in hosting a conference of this magnitude. Relevant past performance is performance under contracts within in the past five (5) years that is of the same or similar scope, magnitude and complexity to that which is described in this RFI. Include a minimum of three (3) current/previous contract performed along with the following information: contract number, name and address of Government agency or commercial entity, description of work/services provided, point of contact with current phone number and email address, date of contract award, period of performance, initial and current contract value. 6.The vendor must demonstrate the capability to reserve hotel rooms online, in advance and guarantee reservations for late arrivals. ( only applies to hotels submitting capability statements) 7.The vendor must demonstrate the capability to provide airport shuttle service or options for transportation to and from the airport if hotel is not located in Washington DC. (only applies to hotels submitting capability statements) 8.The vendor must demonstrate compliance with the Americans with Disabilities Act (ADA). 9.The vendor must submit terms and conditions for reserving conference space without initial financial obligation to the Government. 10.The vendor must demonstrate the capability to work with a conference planner of the Government's choosing or to provide a conference planner for the Government. 11.The vendor must demonstrate the capability to host multiple breakout sessions at a time during the conference, to accommodate 40-60 people in each session. 12.The vendor must demonstrate audiovisual/technological capability to host a conference, to include: a.WiFi b.Screen(s) to be visible for all attendees c.Sound recordings d.Amplifier/Loudspeaker system e.Microphones f.Laptop connections Submission Requirements Submissions are limited to no more than 15 single sided pages. They should be submitted via email to Tania Gates at Tania.Gates@noaa.gov. A complete response should include answers to the questions that were presented above. A respondent's failure to provide complete responses to any questions will be interpreted as not having a complete understanding of the question and does not demonstrate a capability to provide the required services. Responses should demonstrate capability, not merely affirm the respondents' capability by stating the respondent can perform the services.
