Solicitation VA263-17Q-0418 Amendment 0001 Questions and Answers The purpose of this amendment is to address contractor questions and extend the quote due date to March 20, 2017 at 12:00PM CDT. Q1: Will the contractor be in an on-call status once the thin clients have been set-up? Is there a need for onsite system support unless the contractor is performing maintenance or responding to a problem? A1: From the VA perspective, we would like phone and remote support during the 7am-6pm hours. We only require on-site support when remote support is not sufficient to fix an issue or implement requested changes. Q2: For your Thin Client machines, are they meant to be true Thin client with no self-sufficient software other than boot up and connect directly to a RDP server on the network vice being just small form factor with OS and supporting software on each machine? A2: Yes, they are meant to be true thin clients as you described. Q3: Are the machine intended to connect to a RDP server for all of their software support? A3: Yes. The intent is to allow vendors to troubleshoot software remotely and ultimately reducing turnaround time on solving these issues versus requiring vendors come on-site to support the software. Q4: How will the Thin Client machines and monitors be set up? Will they be set up on a desk top or on a cart; who will provide the power/strip connections? A4: The thin clients, monitors, keyboards and mice will be set up on desk tops. We ask the vendor provide the power cable for each thin client and peripherals. If necessary, the vendor will need to supply power strips, but there are likely enough power outlets currently available to support all requested machines. Q5: What do you estimate as the average distance from the Ethernet jacks to client machines? A5: We estimate 6 feet. Q6: What are the types (brand, model number, and age) of 3 printers that are presently in service that the contract wants serviced; what city(ies) are they currently located; and how to have the opportunity to inspect them as we are to accept them as is? A6: The three existing printers are the same model: HP LaserJet M4345 (under 3 years old, it seems). The printers are located at the Omaha, Grand Island and Lincoln VA Medical Centers. If approved by the Contracting Officer, then the VAMC can accommodate a site visit. Q7: For the printers to be purchased, do they need to be laser or Inkjet, Color or B&W, how many pages per minute, and what are physical dimensions do they need to meet? A7: For ease of use, please purchase the HP LaserJet M4345 model. Q8: Do you just need the MS Office H&S 2016 license numbers or do you want the software installed on a small form factor? A8: We want the MS Office software installed on the thin clients. Q9: We are unaware of any Adobe Reader licensing requirement. It is Free to all users. A9: If that is the case, never mind, then. That is good to hear. Similar to the question above, we want Adobe Reader installed on the thin clients. Q10: To provide and perform any remote service, will we be given administrative privileges and the ability to remote into the hardware? To the best of our knowledge, you cannot remote into a true thin client machine; you have to access the server to check the connection. A10: Yes, we prefer remote services to keep turnaround time low. The vendor and VA will share admin privileges and passwords for the entire system, which should allow you to troubleshoot the thin client via the server. Q11: Can a 24 ExorVision monitor be used as substituted for the 19 monitors? It s a higher quality monitor at an equal to lower price than the 19 monitor. A11: Due to a space limitation, we prefer not to substitute the 19 monitor. Q12: How is the VA s current help desk organized at NWIHCS campuses in Omaha, Lincoln, and Grand Island Nebraska? Who supports NWIHCS campuses? A12: For the current PCs, which are available to patients only, we have one VA employee supporting all three sites. With this purchase, we are hoping the vendor can provide a single phone number to which we can route all of our questions/issues, rather than relying on VA staff. Q13: Can you give an estimate of how many after-hours help desk calls were made last year for those campuses? A13: We estimate three calls were made last year between 4pm 6pm if you consider that after-hours. Some of the PCs will be available to Veterans until 6pm. Q14: Is there an incumbment? A14: No, this is a new requirement. Q15: Can you provide guidance on the printer type and required specifications? Do they need to be black & white, laser, etc? A15: Please plan to purchase the model HP LaserJet M4345. Q16: What is the condition of the three existing printers that the contractor is required to service? A16: As they are locked-up and only accessed when in use, they are relatively new and are working.
