Description

STATEMENT OF WORK (SOW) Northport VA Medical Center 79 Middleville Road Northport, NY 11768 Computrition s Hospitality Suite Client/Server Software Introduction and Overview Computrition is commercial off-the-shelf (COTS) software that is intended to replace VISTA Dietary package. Background Computrition is currently used in VISN 3 to support the commissary menu, production and ordering capacities. The VISTA dietary package does not support the use of select menus and requires hand-written patient selections, manually counting selections, and transposing information from paper to tray ticket. Use of this package will support our select menu initiatives by providing accurate production reports and tray tickets that are easy to read and only reflect what the patient truly wants. The select menu initiatives are in place and have tremendously improved patient satisfaction. Computrition will enhance this program and improve efficiency. Computrition will support National Strategic goals to move towards a room service model of meal delivery. Objectives Implement COTS, which will replace VISTA Dietary package. Train staff on use of this new program. Allow patient meal selections to be entered in computer system at bedside. Print accurate patient tray tickets that are easy to read. Print accurate food production reports to improve efficiency and decrease waste.. 1.2 Scope of Work The contractor shall provide all resources necessary to accomplish the deliverables described in the proposal and cost sheet attached. Description: Computrition s Hospitality Suite is comprised of totally integrated food service and patient management programs, developed specifically for menu planning, purchasing, inventory, automatic order entry, production planning, recipe management, forecasting, costing and control, nutritional labeling, automated HACCP and diet office management. Key Features of the Food Service Operations Management system include Full tracking and customization of items/ingredients, including but not limited to: Storage locations, issuing information Supplier selection, with ability to track multiple vendors simultaneously Par level and on hand inventory management Item specifications Nutrient referencing from multiple databases Potentially hazardous food identification (with HACCP add on module) Pre-preparation and handling criteria Full tracking and customization of recipes and menus, including but not limited to: Therapeutic variations, with easy to use copy and paste functionality. Nutrient referencing, utilizing multiple databases Incorporation of diet office criteria, including restrictions, diabetic and renal exchanges, patient likes, dislikes, allergies, and food medication interaction. Food safety, including HACCP, handling, sanitation, and temperature controls. Full integration with production, costing, picklists, ordering, revenue analysis, menu mix and forecasting. Day, week, and month at a glance on screen and printed views of menus, with user defined formats. Key features of the Nutrition Care Management (Diet Office Management) system include : Seamless integration to customer information systems via HL7-compliants interfaces. Retrieval of nutrition and related data from any point of service, whether the individual patient is hospitalized, in an extended care facility or followed at home. Patient- specific tracking functions, included but not limited to: Multiple diet restriction assignments, with automatic assignment of appropriate menu components. Customized nourishment management, labels and reports. Customized diabetic and/or renal exchange pattern assignment. Special services, including feeding devices and instructions. Weight tracking and reporting and customized nutrition plans. Automated calculation of intake for calories counts, including user-defined nutrients. Assignment of acuity based on user defined risk factors. Automatic calculation of BMI and BEE. Menus and tray tickets customized for individual preferences. Full integration of menu tallies with production. Deliverables: See quote for specific quantities and fees Nutrition Care Management (NCM) Select- Diet Office Add on Module: NCM Select Initialization Fee (6licenses) NCM Select Annual License Fee (will be paid annually by the facility)-Software package in place with the ability to interface with CPRS and enter bedside meal selections directly into computer. Produce accurate tray tickets and food production reports. Provide on-going use of the software. Ongoing enhancements to software- Consists of any modifications or improvements to the software, which relate to operating performance, but do not change the basic function of the software. Updates to software as necessary to insure proper function and continued usefulness of the software and documentation. NCM Select Custom Training Package- Training will cover the operation and use of features and programs included in Computrition-NCM Software. Will provide on-site training for up to 8 people per session with one computer for each two trainees is required. Trained staff will have the knowledge and ability to operate software correctly, efficiently, and maintain ongoing use of software. NCM Select Flow Analysis Project Management- Planning, scheduling, and controlling project to meet the project goal s. Dedicated staff will assist with developing a plan to implement the software within a specified amount of time with available resources. This includes account specific timeline, operational transition plan, project meeting minutes, statement of work, project control points and plans, project evaluation, change order logs and requests, reporting project performance. Easy Touch Menu Selections Hardware: Easy Touch Menu Selection Initialization Fee (3 licenses) Easy Touch Selection Annual License Fee (3 licenses) ( will be paid annually by the facility) Provide on-going use of the software. Ongoing enhancements to software- Consists of any modifications or improvements to the software, which relate to operating performance, but do not change the basic function of the software. Updates to software as necessary to insure proper function and continued usefulness of the software and documentation. Easy Touch Menu Selection Implementation Fee HL7 Interfaces: Multisite HL7 ADT with Tube Feeding Interface Initialization Fee Multisite HL7 ADT/DO with Tube Feeding Interface Annual License Subscription Fee ( will be paid annually by the facility) Support Services: and direct support regarding the use and operation of the software via a toll free number Application Support Services NCM Weekend Support Annual Subscription Fee Site (Saturday and Sunday 6:00AM-6:00PM PT) Extended Interface Support (24 hours- 7 days a week) 1 site Implementation Services: Travel Expense Estimates- Airfare, Meals per day, lodging, transportation, and miscellaneous (tips, tolls, etc. per day) (open market) Tune up training for option year 1: Travel Expense Estimates- Airfare, meals per day, lodging, transportation, miscellaneous (tips, tolls, etc. per day) (open market) Period of Performance Up to one year for implementation, with annual licensing fee for every year after, to include 4 option years.
