- RFQ for lodging, food, and beverage and possible AV equipment INVITATION TO BID/REQUEST FOR QUOTATION U.S. PROBATION OFFICE PURPOSE: The following meeting specification sheet is intended to provide qualified, interested parties information which will enable your company to respond with a detailed proposal to provide hotel and meeting facilities for the (U.S. Probation Office - District Meeting. EVENT PROFILE : District Meeting 2. ATTENDEE PROFILE: 340 attending the training. 3. DATES: August 27, 2017 to August 31, 2017 ARRIVAL TIME: Sunday, August 27, 2017 by 12 noon (50 only) Remaining staff will arrive on Monday, August 28, 2017 DEPARTURE TIME: Thursday, after 12 Noon ANTICIPATED SLEEPING ROOM NEEDS: August 27, 2017 - 50 sleeping rooms August 28, 2017 - 340 sleeping rooms August 29, 2017 - 340 sleeping rooms August 30, 2017 - 340 sleeping rooms 6. RESERVATION: A list of names will be provided. Upon arrival, each attendee will present their government credit card and pay individually. 7. MEETING ROOMS: Banquet Room to sit 340 in crescent rounds for opening (8-28) and closing session (8-31) 4 large breakout rooms to sit 75 in classroom style 4 small breakout rooms to seat 40 in classroom style (optional) Meeting Space Requirements: Meeting room for 340 participants Estimated Meeting Agenda Per Day: Length of Training: 3-1/2 days Monday Tuesday/Wednesday Thursday 8:30 - 10:00 AM General Session General Session General Session 10:00 - Break Break Break Break 10:15 - 11:30 PM General Session General Session General Session Lunch Lunch Lunch 1:00 -3:00 PM General Session General Session 3:00 Break Break Break 3:15 - 5:00 PM General Session General Session Beverages and Food The hotel will provide all of the function space required in accordance with the schedule of events which is described below for a meeting package fee amount. This package will include the following: •- Meeting room rental •- Meeting room set up 8. MEALS: Group lunch on August 29 and August 30 Group dinner on August 30 AM/PM Breaks on August 29 and August 20 AM - coffee and pastries for 340 (or similar items) PM - cookies, sodas, water, or chips and queso for 340 (or similar items) 9. AV Requirements: Projectors, cables, so und, Wi-Fi, (optional), microphones (handheld and lavalier) 10. Transportation: Training event must be within 20 miles from Austin airport.
