- Description
- Purpose The purpose of this project is to design and implement a Multimedia Presentation System. This system shall include audio and video presentation capabilities in addition to audio/video teleconference and voice reinforcement features. The proposed system shall also include a custom designed control system, which will operate as the single point of control for all system components and features. About this Document This document is intended to ensure that the Contractor and Operator share a common and equal understanding of the end result that the Operator intends for this project. The information contained herein will describe the project scope and specify or refer to other existing documents, which may describe any hardware/software products to be included. Inclusions This Statement of Work includes the following: 1. Scope of Work to be Performed by Contractor A. Display System and Source Connectivity B. Audio C. Integrate Videoconference System (Operator provided) D. Control System E. Equipment Rack 2. Facility Impact Considerations 3. Training 4. Warranty 5. Site Visit 1. Scope of Work A. Display System and Source Connectivity a. Contractor shall provide and install one (1) 1080p Flat Panel (LCD) display. Contractor shall recommend size of the display based on the size of the room and wall width. The display will serve as the primary display for both in-room and videoconference content sharing. The display shall be mounted on the wall at a height that is appropriate for viewing. b. Connectivity for the display shall be terminated at one (1) Operator provided Intel NUC (NUC5I7RYH) PC and one (1) Operator provided Polycom RealPresence 500 Videoconference codec; both devices use HDMI display ports. c. Contractor shall provide and install one (1) patch panel for input connectivity mounted in the equipment rack to provide availability to all ports on the Display System. B. Audio a. Contractor shall provide and implement Teleconferencing audio within the entire room. All Teleconferencing audio must integrate with the Polycom RealPresence 500 videoconferencing codec. This includes two (2) wall mounted speakers that shall be installed in the display wall. b. Contractor shall provide and rack-mount an Amplifier in the equipment rack. c. Due to variable seating configuration of this room the use of ceiling mounted microphone(s) is required. The Contractor shall provide a design and install ceiling microphone(s) to provide the best room coverage reasonably possible. The Contractor shall take the following audio difficulties into consideration regarding their design: i. Location - The microphone is at a greater distance from the talker than traditional tabletop microphones. Because of this distance the microphone's sensitivity must be turned up making the system susceptible to ambient room noise. ii. Noise - The conference room has one wall of windows and laminate hardwood floor. Additionally, HVAC and other building mechanical noise is often transmitted through the ceiling introducing unwanted noise into the audio system. The Contractor shall determine the requirement of soundproofing panels and determine the quantity needed. C. Videoconference System The Contractor shall rack-mount one (1) Polycom RealPresence 500 Videoconferencing codec system and wall-mount one high definition video communication camera on the display wall. This camera shall provide a traditional videoconference room view. D. Control System The system shall be integrated with a centralized Control System to support preset Room Modes and Configurations. The Contractor shall provide and install one (1) touch panel interfaces for room automation installed opposite the display wall. The Control System shall control the following A/V System items: a. Preset Configuration Modes - Videoconference and Presentation b. System Power c. Source device control E. Equipment Rack The Contractor shall provide and install an audiovisual equipment rack. The equipment rack shall be low-profile yet sized appropriately for the equipment specified and shall be placed on the Display wall. The equipment rack shall not prohibit device communication with remotes or wireless peripheral devices. The equipment rack shall house the following components: a. Control System Components b. Operator-provided Polycom RealPresence 500 Videoconferencing Codec c. Operator-provided Intel NUC (NUC7i7BNH) PC d. Audio Components 2. Facilities Impact Considerations a. All wiring will meet national fire protection codes. b. Installation includes all wiring, cabling, and control connections necessary for a complete usable video/audio system. 3. Training a. Training for operation of equipment will be provided. Standard instruction manuals will be provided for on-site use. 4. Warranty a. All Contractor provided equipment shall be warranted as specified by the specific product manufacturer. Product repair, replacement and related shipping charges will be handled in accordance with the product manufacturer's written warranty. The contractor will be required to handle coordination of equipment failure issues for one year. 5. Site Visit a. Preferably, the Contractor will conduct an on-site walkthrough with staff at the Federal Public Defender office located at 700 E. San Antonio Ave, Suite D-401, El Paso, TX, to provide a conceptual design and layout recommendations based on the content of this document.
