2 2 STATEMENT OF WORK (SOW) CadLink Data Management Private Practice II Pkg. Funding Document: 632-17-3-3086-0245 The Network Contracting Office 2 (NCO 2), located at 2875 Union Rd., Cheektowaga New York 14227 is posting this Sources Sought notice to determine whether there are two or more Service Disabled Veteran Owned Small Business (SDVOSB or Veteran Owned Small Business (VOSB) that can provide the product/service to meet the Government s needs. This is not a solicitation for offers. The Contract Specialist will use this information to determine whether a SDVOSB or VOSB set a-side exists. The place of performance will be located at the Northport VA Medical Center, 79 Middleville Rd., Northport New York 11768. All questions are to be addressed to Jonathan Aikin at jonathan.aikin@va.gov. 1. Introduction and Overview The CadLink Data Management Private Practice II pkg is an H7L Interface to integrate EMG test results into the electronic Medical Record. The current process entails the inefficient tasks of printing out reports and then later scanning them into CPRS as a separate document. The Cadlink would allow data from the studies to be incorporated directly into the CPRS report by the physician. This eliminates the separation of physician reports and data being housed in 2 separate areas. This unit would expand the utility of the Sierra Summit EMG machine in a way that enhances efficiency, consolidates data and reports and simplifies the patients medical record. In adhering to the Mission Statement of the Northport VA, it is our duty to provide exceptional care to improve the overall health and well-being of our Veterans and the completion of this project would accomplish such a goal. Neurology Service adheres to the vision statement of the Northport VA Medical Center. Patient safety is in the forefront of healthcare delivery and supports a proactive approach. The ability to integrate reports and data into the CPRS record will additionally be more time effective due to the user customization which is not currently available. This project exemplifies our commitment to offering efficient, safe and integrated quality healthcare capable of providing a full range of state-of-the-art technology. The priority for this equipment is high. The current machine is more than a decade old and using outdated technology, the printer has failed on numerous occasions and technical support/parts/printer replacements are no longer available. Since our initial discussions with COS about obtaining a new machine in September, additional issues have arisen for current machine of which he is aware, which are not repairable. Additionally, newer technology would reduce manpower hours (for example, we currently need all data hand scanned by clerical staff) freeing up clerical staff/physicians to do other things. 1.1 Background Currently the process of completing reports for EMG/NCV testing involves scribing a report note in CPRS and ten separately printing out data which is then delivered to clerical staff to be scanned in a separate process into CPRS. Although eventually the data becomes a scanned attachment to the report this can take some time and additional manpower hours. If the data is requiring review before it is scanned it must be trapped down and reviewed in paper form which again takes additional time. The time requirement to complete the report and incorporate the data in CPRS would be significantly reduced from days to weeks to same day turn around. Current technology such as the Cadlink allows for a significant improvement inefficiency. A price quote from Cadwell Industries and Natus Neurology were requested. 1.2 Scope of Work Our scope would be to acquire one Cadlink interface. 1.3 Objectives The primary objective for procurement of one Cadlink interface is to improve efficiency and data and reduce paper work with patient identifiable information. This will improve physician and clerical efficiency, patient care and patient satisfaction with speed and accuracy. Period of Performance- N/A Projected Cost- N/A 2. References- N/A 3. Requirements Equipment to be delivered/assembled upon receipt to medical center. Training of staff, minimum one person, to be performed on site. Cadwell will set up user profiles and provide as much training as needed about the system. HL7: Includes up to 20 hours of installation and configuration assistance within 1 year of purchase date. 3.1 Tasks Deliver one CadLink Data Management Private Practice II pkg to the Northport VA Medical Center, Neurology Department, Building 200, Room BO-20, 79 Middleville Road, Northport, NY. Assembly and validation of performance. Training of staff. 3.2 End Results/Deliverables- N/A 3.2.1 List of Deliverables by Task- N/A 3.3 Schedules/Milestones Delivery of one CadLink Data Management Private Practice II pkg within 30 days of purchase. Validation of performance within 30 days of delivery. Training of the staff on receipt of machine. HL7: Includes up to 20 hours of installation and configuration assistance within 1 year of purchase date. Other Considerations- N/A 4. Progress/Compliance- N/A 5.
