- Notice of Intent to Sole Source: 9091 HIMSS 2018 Annual Conference VHA Interoperability Showcase Booth Space Introduction: The Department of Veterans Affairs (VA), Program Contracting Activity Central (PCAC) intends to issue a sole source contract to the Healthcare Information and Management Systems Society (HIMSS) to acquire booth space at the HIMSS 2018 Annual Conference. Justification: The VHA intends to obtain booth space at the HIMSS 2018 Annual Conference, providing VHA with a unique opportunity to demonstrate impact and activities in Interoperability, while reaching a global target audience of health information technology subject matter experts to exchange in educational, innovative, and collaborative efforts in continuing to transform health and healthcare IT. At this time, there is no solicitation. If your company feels it can provide the required booth space at the HIMSS 2018 Annual Conference, please review the requirements below and provide a capability statement. Requirements: Performance Period The 2018 HIMSS Conference will take place March 5th, 2018 to March 9th, 2018. Objectives To obtain booth space to facilitate an Interoperability Showcase for the Veterans Health Administration (VHA), which would demonstrate impact and activities in interoperability within a designated area at the HIMSS18 Annual Conference. Requirements 2 boxes total (600 sq. ft.) Per (1) box structure (Approx. 300 sq. ft.) Dedicated and branded space VHA to invite/select 8 VHA facilities, non VHA providers, non-profits, education organizations (8) 32 monitors, 8 laptop stands, 8 chairs, electric, wired internet, carpeting, branding, custom graphics, 2 dedicated staff members to help meet milestones, 1 graphic designer to customize space. Promoted scheduled tours of the area included on the HIMSS app and online. (2) 60 minute Theater presentations in the Interoperability Showcase Theater during exhibit hours; education session time to be determined, promoted online and in the HIMSS app (2) White Glove VIP Custom tour of the Showcase based on client specific requirements Additional 60 minute Theater presentations in Interoperability Showcase Education Theater during exhibit hours; education session time to be determined, promoted online and in the HIMSS app. Marketplace Meeting Room (Closed door room on the showcase floor) Electrical (15 amps), Shared hardwire internet connection, 1 table with 4 chairs Lead generation (of all attendees to include: name, title, organization, professional title, worksite, city and state, and email) Dedicated sessions with Videographer. Raw footage will be provided to VHA. (2) 30 minute sessions (1) Demonstration recording 28 exhibitor/client badges (you determine the mix), 6 full conference badges Prominent display on HIMSS18 marketing materials and communication vehicles, including: HIMSS official hashtag for interoperability #EmpowerHIT Periscope/live tours organization real time highlights On-site media interview VIP Tours with executive stakeholders HIMSS conference website, interoperability exhibit website and himss.org On-site signage & recognition Invitation to author interoperability blog on HIMSS Blog (3) published whitepapers on interoperability promoted on himss.org and interoperabilityshowcase.org Inclusion in on-site attendee print and electronic materials Recognition in a variety of media interviews, news items and journal articles Press release template Recognized during networking events [evening reception, millennial morning and breakfasts] Submittal Information: As stated above, this is an Intent to Sole Source. However, any responsible source who believes it is capable of meeting the requirement may submit a capability statement, proposal, or quotation, which shall be considered by the agency, only if received by the closing date and time of this notice. A determination not to compete the proposed requirement based upon the responses to this notice is solely within the discretion of the government. Responses to this notice are due on November 13, 2017 at 4:00pm Eastern Local Time (EST) to both Roberto De Jesus via email at Roberto.Dejesus2@va.gov and Anthony Wilson at Anthony.Wilson3@va.gov.
