Description
Notice of Intent to Sole Source: 36C77619Q0019 HIMSS 2019 Annual Conference VHA Interoperability Showcase Booth Space Introduction: The Department of Veterans Affairs (VA), Program Contracting Activity Central (PCAC) intends to issue a sole source contract to the Healthcare Information and Management Systems Society (HIMSS) to acquire booth space at the HIMSS 2019 Annual Conference. Justification: The VHA intends to obtain booth space at the HIMSS 2019 Annual Conference, providing VHA with a unique opportunity to demonstrate impact and activities in Interoperability, while reaching a global target audience of health information technology subject matter experts to exchange in educational, innovative, and collaborative efforts in continuing to transform health and healthcare IT. At this time, there is no solicitation. If your company feels it can provide the required booth space at the HIMSS 2019 Annual Conference, please review the requirements below and provide a capability statement. Requirements: 1. Performance Period The 2019 HIMSS Conference will take place February 11th, 2019 to February15th, 2019. Objectives To obtain booth space to facilitate an Interoperability Showcase for the Veterans Health Administration (VHA), which would demonstrate impact and activities in interoperability within a designated area at the HIMSS19 Annual Conference. Requirements Veterans Health Administration would demonstrate impact and activities in interoperability within a custom area at the HIMSS19 Showcase through the following opportunities: Unique, customized demonstration area located centrally between the Interoperability Showcase and Innovation live pavilion. This area would act as the bridge between these topics and highlight the VA as an industry leader in innovation and interoperability. o Dedicated branded space with seating area and individual demonstration kiosks. o VA team to work with HIMSS team to create dedicated branding opportunities within designated area. o VA to invite/select up to 16 VA facilities, non-VA providers, non-profits, education organizations o Each invited organization would receive their own dedicated turnkey kiosk which would allow the VA to highlight a variety of topics, partners and projects. Each kiosk includes the following: - 2 chairs - (1) 32 monitor - Table top with locked cabinet - Branded graphic - Electric, wired internet, carpeting Page 1 of 3 o Promoted scheduled tours of the area included on the HIMSS app and online. o (1) 80 monitor in branded seating area furniture and orientation will be selected based on VA needs to create a theater or discussion like area. o (3) 60-minute Theater presentations in the Interoperability Showcase Theater during exhibit hours; education session time to be determined, promoted online and in the HIMSS app. Sessions will be recorded and raw footage provided to the VHA. o (2) White Glove VIP Custom tours of the VA area within the showcase based on client specific requirements o Marketplace Meeting Room (Closed door room on the showcase floor) o Electrical (15 amps), Shared hardwire internet connection, 1 table with 4 chairs o Lead generation (of all opted-in scanned attendees to include: name, title, organization, professional title, worksite, city and state, and email) o Dedicated sessions with HIMSS Videographer. Must be scheduled prior to arriving onsite. Raw footage will be provided to VA. o (2) 15-minute interview sessions o (5) Demonstration recording o Included: Can invite up to 5 commercial partners as part of total participants. o Additional vendor and supplier organizations are required to pay $4,950 Demonstration fee to HIMSS (reflects a 10% discount on the additional system fee) o 30 exhibitor/client badges (you determine the mix), 10 full conference badges o If additional exhibitor/client badges are needed, they would be $150 per badge. o Invite only VA interoperability stakeholder brunch (To occur Monday prior to Show open) o Full Breakfast Buffet- $69 per person + set up fees + staffing o Prominent display on HIMSS19 marketing materials and communication vehicles, including: HIMSS official hashtag for interoperability #EmpowerHIT Periscope/live tours organization real time highlights On-site media interview VIP Tours with executive stakeholders HIMSS conference website, interoperability exhibit website and himss.org On-site signage & recognition Invitation to author interoperability blog on HIMSS Blog (3) published whitepapers on interoperability promoted on himss.org and interoperabilityshowcase.org Inclusion in on-site attendee print and electronic materials Recognition in a variety of media interviews, news items and journal articles Press release template Recognized during networking events [evening reception, millennial morning and breakfasts] 10% Discount -- HIMSS Organizational Affiliate Member Page 2 of 3 Submittal Information: As stated above, this is an Intent to Sole Source. However, any responsible source who believes it can meet the requirement may submit a capability statement, proposal, or quotation, which shall be considered by the agency, only if received by the closing date and time of this notice. A determination not to compete the proposed requirement based upon the responses to this notice is solely within the discretion of the government. Responses to this notice are due on December 14, 2018 at 4:00pm Eastern Local Time (EST) to Benjamin.Niznik@va.gov. All responses must include the following information: Company name, Cage code, CCR number, Dun & Bradstreet number, Company address, Point of contact name, Phone number, Fax number, GSA contract (if applicable) and email.
