- Please confirm if there will be any hard drives presented for destruction and if so, how many. No hard drives For hard drives and other digital media, it is common to scan a barcoded serial number to record on the Certificate of Data Destruction. Do these tapes, disks, and reels have a barcoded unique identifier that can be scanned and recorded? No identifier If not, how would you like us to report on the COD? For example, they could be counted then noted on the COD as Tape #1, Tape#2 etc. or something else to your preference. Type of media and # should be sufficient. i.e. DVD x200, Digital Media Tape x500, VHS Tape x15, etc. Is there a sample available of the desired layout of the report? I m not sure what this question references. No sample just to include the following: More emphasis is the certificate of destruction (COD) the report should be minimal effort as additional information to the COD. all work completed during the performance period only suggest a pre-typed with fill in the blanks only for handwritten quantity and or comments section. should account for each type of media (data element) enduring data is accurate and consistent as of the day of performance. Should have area to identify any problems that arose and a description of how the problems were resolved. If problems have not been completely resolved an explanation including an agreeable plan and timeframe for resolving the issue should be stated. Must include an itemized list of all deliverables. i.e. Type of media and # should be sufficient. i.e. DVD x200, Digital Media Tape x500, VHS Tape x15, etc. Any issues that arise are to be transparent to both parties to prevent outstanding issues. Due to quantity, would it be possible to do all the scanning, and cataloguing day one, finish that work the next morning (if necessary) then move all materials outside to shred onsite before the end of the second day? This sounds like a good plan based on amount of media. Are the materials located in one building? All in one area/room? All in one area Are there elevators to move material to ground level? N/A material on ground level Is there a loading dock, and is there a ramp to the ground? Yes-Loading dock No-Ramp to ground Is there parking near the egress for our truck for the time it will take to accomplish the shredding aspect of the work? Yes Is there adequate room to accomplish the inside work scanning, cataloging, etc. with amenities to facilitate the work e.g. tables and chairs, electrical outlets and good lighting? Can be accommodated. we have tables, chairs and outlets for use. Will the standard for the destruction be degaussing per the NSA declassification manual? Not required No, as the request is for these to be destroyed, not degaussed. They need to be shredded, crushed, pulverized, etc. What dimensions are the 8 track tapes? 4.5 L x 4.5 W x 1.5 thick Will you require individual serial numbers recorded for the items? - No For the media scanning would we be scanning the contents of the media to a readable format or is it just scanning a SKU of the media and cataloging that it has been destroyed? Just to catalog it for tracking destruction. No scanning is involved. Should just be type of media and #. Also, is it mandatory that all destruction happen on site? Yes
